Primary Responsibilities
Summary
The Administrative Specialist plays a key role in supporting counseling services, accessibility services, coordinating student appointments for both areas, and promoting mental health and wellness initiatives across campus. This position serves as a primary point of contact for students, faculty, and staff and is essential in cultivating and ensuring a welcoming, responsive, and well-organized office environment whether in person, telephonically, or virtually. Position is Security Sensitive.
Duties
  1. Provide introductory overviews of office services to prospective students and campus visitors. Strictly maintain confidentiality and professionalism when handling sensitive student information. Serve as a primary point of contact for student inquiries and service navigation.
  2. Coordinate scheduling of intake and follow-up appointments. Assist in securing documentation needed before and after appointments.
  3. Coordinate scheduling of appointments as needed. Prepare and distribute accommodation letters and maintain student accommodation files. Assist in coordinating accessibility services and related documentation processes.
  4. Plan, schedule, support, and effectively advertise mental health and student wellness workshops, outreach events, and campus programming. Collaborate with campus and community partners such as the Family Crisis Center of the Big Bend (FCCBB) on initiatives such as Sexual Assault Awareness Month and Domestic Violence Awareness Month. Assist with the coordination of events such as Mental Health Awareness Day, Mental Health First Aid trainings, and suicide prevention programming.
  5. Monitor and track office supplies/needs, submission and fulfillment of orders, budget expenditures and assist with financial documentation and reporting. Submit and manage facilities requests and work orders as needed. Maintain accurate and confidential electronic and physical filing systems.
  6. Track and report service utilization data, including counseling sessions, accessibility services requests, and possible accommodation appointments. Assist in preparing and compiling semester reports for departmental assessment and planning as well as semester summaries.
  7. Utilize scheduling systems, shared calendars, and database tools to support daily operations. Maintain proficiency in Microsoft Office, Google Workspace, and Excel for reporting and documentation. Utilize Canva (and/or other creative means) for flyers, presentations, etc. Assist with webpage monitoring and submitting update requests to webmaster as well as following up on those requested changes. Assist with social media interaction as appropriate and upkeep.

Other duties may be assigned to this position on a regular or occasional basis to respond to the needs of the university.

Ability to remain calm in stressful situations and/or in response to a possible crisis situation. Proficiency in Microsoft Office, Google Workspace, Excel, and digital filing systems. Ability to coordinate multiple projects, events, and deadlines simultaneously. Experience collaborating with multi-departmental teams and community partners. Creativity in developing outreach materials (e.g., flyers). Advanced interpersonal skills and empathy, with the ability to meet students, faculty, and staff where they are and respond appropriately to a range of needs. Ability to support student-centric services and programming.

Employee will support the mission of Sul Ross State University by providing high-quality, professional services, timely responses, and solutions to customer requests.
Working Conditions:
Mostly standard hours. Attendance and participation in community meetings and/or events off campus. Occasional evening and weekend hours.
Physical Requirements:
This position typically works in an office environment, requiring prolonged periods of sitting at a desk while using a computer. The role demands frequent use of hands and fingers to operate a keyboard, mouse, and other office equipment. Visual acuity is essential for reading and interpreting data on computer screens. Clear verbal communication skills are necessary for interacting with colleagues and employees. Additionally, the job may involve occasional mobility around the office and attending meetings, as well as frequent travel to attend off-site meetings and trainings.
Security Sensitive:
This position is classified as Security-Sensitive and is thereby subject to the provisions of Texas Education Code ยง51.215 and Texas Government Code ยง411.094, which authorize employers to obtain and review criminal history record information for applicants.
