Job description

Description

The Outpatient Program Assistant provides administrative and clerical support in a fast-paced integrated clinic. The Outpatient Program Assistant will be detail-oriented, highly organized, have strong Microsoft Excel skills and experience managing electronic health records. The Outpatient Program Assistant will have the ability to handle a variety of data entry, reporting and document management accurately and professionally. 


Responsibilities

Create, update, and maintain complex spreadsheets, databases and tracking systems using Microsoft Excel. 

Manage and maintain electronic health records (EHR, ensuring accuracy, completeness, and confidentiality of patient information. 

Enter, verify, and update patient and administrative data in electronic health systems. 

Monitor data accuracy and perform regular audits of spreadsheets and records. 

Prepare, process, and organize forms, reports, and other documents. 

Assist with recordkeeping, compliance documentation, and data management projects.

Schedule appointments, coordinate meetings and maintain calendars as needed.

Respond to phone calls, emails and inquiries in a professional manner.

Support management with administrative projects and special assignments. 

Ensure compliance with organizational policies and confidentiality requirements. 

Perform other duties as assigned by supervisor.

Requirements

Required Skills:

Strong proficiency in Microsoft Excel, including data sorting/filtering, reporting and spreadsheet management. 

Excellent data entry skills with a high level of accuracy and attention to detail.

Strong organizational, time-management, and multi-tasking abilities. 

Ability to handle confidential and sensitive information with discretion.

Strong written and verbal communication skills. 


Education and Experience:

High school diploma or equivalent; associate degree preferred.

Previous administrative, clerical, healthcare or office support experience preferred.

Experience with Electronic Health Record (EHR) systems preferred
