Status: Full-Time, Fixed-Term Contract (6 Months), Non-Exempt (Hourly)
About Us
Netfor provides business process outsourcing (BPO) services to for-profit, not-for-profit, and government organizations across Field Services, Technical Support, Customer Service, Fulfillment, and Staffing. The Help Desk team supports employees and client end users with technical issues, service requests, and the operational improvements that keep support delivery running smoothly.
Position Overview
The Project Coordinator supports the Help Desk department by coordinating projects and operational improvement initiatives from intake through implementation and closeout. This is a fixed 6-month contract role. The initial focus will be tracking existing Help Desk projects and preparing reports for the Help Desk Manager, with the scope likely expanding into broader project coordination, documentation, and process improvement responsibilities as the engagement progresses.
This role requires strong attention to detail and comfort working in Excel, since project tracking and reporting will be a primary and ongoing responsibility throughout the term.
Key Responsibilities
Project Coordination & Lifecycle Management
  • Coordinate Help Desk projects and operational improvement initiatives from intake through implementation and closeout, including objectives, scope, milestones, dependencies, deliverables, and success criteria.
Project Documentation, Tracking & Reporting
  • Maintain project plans, task boards, schedules, status reports, decision logs, risk and issue logs, and other project documentation in approved collaboration and work-management tools.
  • Track project and operational metrics, identify trends or gaps, and prepare concise updates for Help Desk leadership and stakeholders.
Meeting Facilitation & Follow-Up
  • Facilitate project meetings, prepare agendas and materials, document decisions and action items, assign owners, and follow up to ensure commitments are completed.
Cross-Functional Coordination & Risk Escalation
  • Partner with Help Desk leadership and technical teams to prioritize work, coordinate resources, identify dependencies, and escalate schedule, scope, resource, or service-impact risks.
Communications & Readiness
  • Coordinate communications, training, knowledge articles, support procedures, and readiness activities for technology deployments and service changes that affect employees or support teams.
Process Standardization & Continuous Improvement
  • Support process standardization and continuous improvement across ticket handling, escalation, asset coordination, onboarding and offboarding support, documentation, and service delivery workflows.
Vendor & Administrative Support
  • Assist with vendor coordination, purchase and invoice tracking, project records, and audit-ready documentation while protecting confidential company and employee information.
Qualifications & Experience
  • Strong proficiency in Excel is required, including comfort building and maintaining trackers, reports, and status summaries.
  • High attention to detail and strong organizational skills; comfortable managing multiple projects and documentation streams at once.
  • Prior experience in project coordination, operations coordination, or administrative support preferred; experience in a help desk, technical support, or IT services environment is a plus.
  • Familiarity with project or task management and collaboration tools (e.g., Jira, ClickUp or similar platforms).
  • Strong written and verbal communication skills, with the ability to facilitate meetings and prepare clear, concise updates for leadership.
  • Ability to handle confidential company and employee information with discretion.
Success Measures
  • Accurate, up-to-date project tracking and reporting delivered to the Help Desk Manager and Help Desk leadership on schedule.
  • Meeting decisions and action items documented and followed through to completion.
  • Risks and issues surfaced and escalated in time to avoid schedule, scope, or service impact.
  • Increasing ownership of process standardization and improvement work as the 6-month term progresses.
Reporting
  • Reports directly to the Help Desk Manager.
  • No direct reports.
Work Environment
This is an on-site role based at NW Indianapolis (Interactive Way), working closely with the Help Desk team.
Expected Hours of Work
Full-time, Monday through Friday, 8:00 a.m. to 5:00 p.m.
Travel
No travel required.
Contract Term
This is a fixed 6-month contract position. The assignment will end at the conclusion of the 6-month term unless extended, renewed, or converted at Netfor's discretion based on business need at that time.
