    Job description

    The Payroll & Staff Accountant is responsible for executing end-to-end bi-weekly payroll processing for approximately 300+ employees while also supporting core accounting functions, including general ledger entries and payroll-related reconciliations. This role is ideal for a staff accountant with strong payroll experience who is highly proficient in Excel and comfortable working across payroll and accounting functions. 

    The position ensures compliance with federal, state, and local wage and hour laws, maintains data integrity within Paycom, and partners closely with Accounting, HR, and Finance to support accurate payroll and financial reporting. 

    Key Responsibilities:

    • Execute end-to-end processing of bi-weekly payroll for all employees with 100% accuracy.
    • Collect, verify, and audit timekeeping data, ensuring compliance with company policies and wage/hour laws.
    • Process all payroll-related changes including new hires, terminations, bonuses, salary adjustments, and one-time payments.
    • Calculate and process final payment for terminated employees in compliance with applicable laws.
    • Review and validate payroll registers and reports before submission to ensure accuracy.
    • Collaborate with HR and managers to resolve discrepancies during payroll review.
    • Maintain accuracy of employee data within the Paycom system.
    • Manage employee deductions including health benefits, 401(k), garnishments, child support, and voluntary deductions.
    • Ensure employee tax records (e.g., W-4s) are up to date and accurate.
    • Utilize Paycom workflows to efficiently manage and track employee changes initiated by HR/management.
    • Ensure payroll compliance with federal, state, and local tax laws.
    • Submit payroll tax filings and monitor payments through Paycom.
    • Reconcile payroll prior to and after processing, verifying earnings, hours, and deductions.
    • Generate reports for Finance, Accounting, and HR, including overtime, labor distribution, and cost analysis.
    • Support year-end payroll processing, including W-2 and 1095-C distribution.
    • Serve as the main point of contact with Paycom for system issues, tax filing discrepancies, and technical support.
    • Liaise with benefits providers and 401(k) administrators to ensure accurate deductions and contribution data.
    • Respond to employee inquiries regarding pay, deductions, time-off balances, and self-service functions in Paycom.
    • Research and resolve payroll-related issues promptly and professionally.
    • Provide guidance to employees and managers on how to access pay stubs, tax forms, and personal information updates.
    • Maintain and update payroll standard operating procedures (SOPs).
    • Participate in payroll audits and provide records and reports as required.
    • Identify opportunities to improve payroll efficiency and leverage Paycom capabilities.
    • Reconcile payroll to general ledger accounts; prepare journal entries.
    • Maintain and reconcile employee benefit deductions between Paycom and carrier invoices.
    • Partner with Accounting on AP/AR projects as needed.

    Qualifications:

    • Bachelor’s degree in accounting, Finance, or related field (preferred).
    • 3+ years of payroll processing experience, preferably with Paycom or similar HRIS/payroll systems.
    • Strong knowledge of federal, state, and local wage/hour laws.
    • Experience with payroll tax filings and reconciliations.
    • High attention to detail, accuracy, and confidentiality.
    • Excellent organizational and time-management skills.
    • Strong communication and problem-solving abilities.
