Job description

At RSS Technology Solutions, we take pride in supporting our teams with timely, efficient, and professional technical coordination. We are currently seeking an Account Specialist to join our Client Services team at our Blankenbaker location. This role is critical in ensuring smooth communication, accurate service order management, and a seamless customer support experience.

As an Account Specialist, you will serve as a key liaison between our clients and internal teams, managing account onboarding, billing, and lifecycle tracking with precision and professionalism. You’ll ensure data accuracy in our CRM, handle recurring and complex invoicing, and follow up on outstanding payments. This role requires a sharp eye for detail, calm under pressure, and the ability to navigate both client-facing interactions and internal team dynamics. Your success will depend on your ability to absorb complex processes quickly, think systematically, and deliver consistent, high-quality service in a fast-paced environment.

Key Responsibilities
  • Onboard new client accounts and ensure complete setup in CRM.
  • Maintain accuracy in client records and account data.
  • Manage recurring and complex billing processes.
  • Track account lifecycle, including client imports and service timelines.
  • Generate invoices and follow up on unpaid or outstanding invoices.
  • Monitor accounts receivable (AR) and support financial tracking.
  • Act as a responsive point of contact for client and account issues.
  • Collaborate across departments, efficiently and professionally managing internal communications.
  • Maintain clear records of service orders and resolutions.

Desired Attributes
  • Exceptionally detail-oriented, with a track record of catching what others might miss.
  • Capable of managing projects from start to finish with minimal oversight.
  • Clear, confident communicator with a calm and professional phone presence.
  • Skilled in de-escalating tense situations and navigating difficult conversations with empathy and control.
  • Thinks systematically and can grasp and operate within complex processes.
  • Team-oriented and always ready to step in and support colleagues when needed.
  • Emotionally intelligent, with strong interpersonal awareness and timing in communication.
  • Open to feedback and able to apply it constructively for continuous growth.
  • Grounded and dependable—personable without being overly chatty, and able to engage appropriately across a range of personalities.

    Qualifications
    • Previous experience in account setup, billing, or accounts receivable (AR) is strongly preferred.
    • Proven ability to thrive in fast-paced, detail-intensive work environments.
    • Technically savvy and comfortable learning new systems; experience with CRM platforms preferred.
    • Prior experience working in small business settings or dynamic, cross-functional teams is a bonus.
    • Excellent written and verbal communication skills, with a professional and clear style.

        What We Offer
        • Competitive salary and benefits package.
        • Opportunities for professional development and growth.
        • A supportive and collaborative work environment.
        • Recognition for exceptional performance.
