Job description

SUMMARY
We are seeking a highly organized and detail-oriented Executive Assistant to support our Chief Operating Officer. The ideal individual will have the ability to exercise good judgment in a variety of situations, strong communication, organizational skills, an ability to work independently under pressure and to handle a wide variety of activities and confidential matters with discretion.
WHAT YOU'LL DO
  • Manage a complex calendar and keep the Chief Operating Officer well informed of upcoming commitments and responsibilities
  • Arrange detailed, complex travel itineraries and agendas, and compile documents required for business trips
  • Follow all internal policies and processes, including travel and expense reporting, and work with Compliance to obtain required approvals
  • Exercise strong judgment when conflicts arise, handle matters proactively and expeditiously, and ensure successful completion of projects under firm deadlines
  • Organize and facilitate team engagements, social activities, and outings
  • Safeguard confidential information and represent the Office of the Chief Operating Officer with professionalism and discretion

WHAT'S REQUIRED
  • 5+ years of experience supporting senior executives
  • Strong organizational and project management skills, with the ability to prioritize competing demands, track deliverables, and meet tight deadlines
  • Excellent written and verbal communication skills, with strong interpersonal abilities and experience working with senior stakeholders
  • Proven discretion and judgment in handling confidential and sensitive information
  • Ability to work independently in a fast-paced environment and flex hours as needed to support urgent or global requests
  • Commitment to the highest ethical standard
