About the Role:

Zen Media is hiring PR Associates to support our flagship product, Published Monthly. This role is focused on execution, client communication, and task management. You will be responsible for moving client deliverables through a structured workflow (SOP-driven) and ensuring nothing falls through the cracks.

This is a detail-oriented, process-first position. You will not be asked to invent PR strategy or pitch tier-1 media - instead, your role is to ensure consistency, quality, and on-time delivery across accounts.

Key Responsibilities:

Client-Facing Duties

  • Serve as the day-to-day contact for Published Monthly clients.
  • Conduct onboarding interviews (collect bios, headshots, logos, ICPs, goals).
  • Deliver content pillar, prompt, and subreddit reports for client validation.
  • Share AI Visibility Layer instructions after each article is published and confirm client implementation.
  • Send monthly light coverage reports (CoverageBook PDF + preview of upcoming work).
  • Package and deliver quarterly AI Visibility Reports (with manager oversight).
  • Join quarterly client calls to review visibility results and recommendations.


Internal Execution & Tracking

  • Maintain client status in Monday.com (deliverables, health, open issues, upsell opportunities).
  • Log client confirmations, delays, or missing items in the system.
  • Ensure AI Visibility Layer instructions are sent within 3 business days of publication.
  • Track publication status from draft submission live instructions delivered.
  • Escalate risks (e.g., missed deadlines, unresponsive clients, visibility issues) to PR Manager.


Quality Assurance

  • Review AI-generated drafts before submission:
    • Verify working links.
    • Run AI-detection check (must show 0% flagged as AI-written).
    • Check tone, clarity, grammar, and client alignment.
  • QA reports and client updates before delivery.
  • Ensure version control in Google Drive (naming conventions, final versions).

Required Skills:

  • Excellent English writing and communication skills.
  • Strong organizational and project management abilities.
  • Detail-oriented with a QA-first mindset.
  • Ability to follow structured SOPs precisely.
  • Proficiency with Google Workspace (Docs, Sheets, Drive).
  • Comfortable using Monday.com (or ability to learn quickly).


Preferred Skills:

  • 1-2 years of experience in PR, communications, marketing coordination, or similar.
  • Exposure to PR tools (CoverageBook, wire distribution) a plus.
  • Familiarity with SEO, AI tools, or digital publishing is helpful.


Performance Metrics:

  • 100% on-time delivery of Published Monthly SOP tasks.
  • All client communication logged and tracked in Monday.
  • AI Visibility Layer instructions delivered and confirmed for every placement.
  • Drafts and reports pass QA with zero client-facing errors.
  • Positive client feedback on responsiveness and clarity.


Career Path:

  • Entry-level role with potential to grow into PR Manager or Client Success Manager.
