POSITION SUMMARY:
The Transportation Dispatcher is responsible for ensuring safe, efficient, and high-quality transportation service delivery. This position works closely with branch program leadership to coordinate daily bus routes, vehicle assignments, hub stops, and departure/arrival times to meet the needs of community-based programs.
Key responsibilities include managing real-time communication with drivers, coordinating daily driver assignments, and maintaining efficient routing to ensure on-time service. The position also supports the onboarding and scheduling of drivers, fostering a responsive and safety-focuses transportation team.
In collaboration with the Association Fleet Superintendent, this role assists with vehicle inspections, preventative maintenance, and repair coordination to minimize downtime and maintain fleet readiness. The Dispatcher plays a critical role in maintaining operational excellence and supporting the YMCA's mission through reliable transportation services.
ESSENTIAL FUNCTIONS:
- Model relationship-building skills in all interactions.
- Assign drivers to routes and monitor daily departures and returns.
- Maintain phone contact with drivers to handle route adjustments or emergencies.
- Log vehicle movements and incidents throughout the day as needed.
- Assist with preparing dispatch reports and maintaining daily records.
- Communicate with the Transportation Supervisor and Fleet Superintendent about issues impacting service delivery.
- Serve as a substitute bus driver as needed to ensure uninterrupted transportation service delivery, operating the bus safely in accordance with YMCA policies, procedures and all applicable state laws.
- Other duties and responsibilities assigned by supervisor.
QUALIFICATIONS:
- As required by insurance and license standards, must be at least 21 years of age, with a minimum of 2 years of driving experience or 20 years of age with 3 years driving experience.
- Must have a valid commercial driver's license (Class B CDL) with P. Endorsement.
- Must successfully meet YMCA of the Triangle Criminal Background Check, Motor Vehicle Record, and driver screening requirements.
- Knows the rules/guidelines related to commercial passenger vehicles (bus).
- Safety certifications required: Basic Life Support, First Aid, Emergency Oxygen. *Must be met within the first 30 days of hire.
- Ability to relate effectively to diverse groups of people from all social and economic segments of the community.
- 1+ year experience in dispatch, transportation, or logistics preferred.
- Familiarity with GPS/dispatch software or willingness to learn.
- Calm under pressure with strong communication and multitasking skills.
- Multi-lingual desired but not required.
