Job description

Recruitment & Community Engagement
  • Conduct community outreach to recruit eligible participants through schools, community organizations, NYCHA developments, faith-based organizations, workforce partners, libraries, and community events.

  • Represent the organization at recruitment fairs, neighborhood events, hiring events, and information tables.

  • Conduct phone, email, text, and social media outreach to prospective participants.

  • Build relationships with referral partners to generate participant referrals.

  • Follow up consistently with prospective applicants throughout the enrollment process.

  • Assist with implementing recruitment plans to meet enrollment goals.

  • Maintain outreach logs and recruitment activity records.

Information Sessions & Participant Engagement
  • Facilitate engaging information sessions describing program services, eligibility requirements, expectations, and career pathways.

  • Respond to participant inquiries regarding eligibility, schedules, services, and enrollment requirements.

  • Provide excellent customer service throughout the recruitment and enrollment process.

  • Conduct preliminary eligibility screenings.

  • Schedule participants for orientations, assessments, interviews, and intake appointments.

  • Maintain regular communication with applicants until enrollment is complete.

Enrollment & Intake Coordination
  • Coordinate participant intake appointments.

  • Collect and review required eligibility documentation.

  • Prepare participant enrollment packets.

  • Verify that participant files are complete before enrollment.

  • Assist participants with completing applications and required forms.

  • Track enrollment progress and notify staff of outstanding documentation.

  • Support orientation and onboarding activities for newly enrolled participants.

Assessment Administration
  • Schedule participants for TABE testing.

  • Administer TABE assessments following program procedures.

  • Maintain testing security and confidentiality.

  • Score or record assessment results as required.

  • Enter assessment results into the participant database.

  • Coordinate retesting appointments when necessary.

Program Administration
  • Maintain accurate participant files in both electronic and physical formats.

  • Enter participant information into Salesforce and other required databases.

  • Monitor participant attendance during orientations, assessments, and onboarding activities.

  • Prepare weekly enrollment reports and recruitment updates.

  • Maintain calendars for information sessions, assessments, and intake appointments.

  • Coordinate reminder calls, emails, and text messages for scheduled appointments.

  • Prepare participant sign-in sheets, orientation materials, and enrollment documents.

  • Assist with filing, copying, scanning, and document management.

  • Ensure participant documentation complies with program and funder requirements.

Team Collaboration
  • Work collaboratively with Case Managers, Career Coaches, Job Developers, Facilitators, and Program Leadership.

  • Participate in staff meetings and case conferences.

  • Communicate participant status updates to program staff.

  • Assist with hiring events, graduations, employer visits, and special program activities.

  • Support continuous improvement efforts by identifying participant engagement trends and recommending process improvements.

Minimum Qualifications
  • Associate degree preferred; High School Diploma or GED required.

  • Two years of experience in workforce development, admissions, recruitment, customer service, education, nonprofit programs, or community outreach.

  • Experience working with young adults and diverse populations preferred.

  • Experience facilitating presentations or workshops is highly desirable.
