JOB TITLE: Education Technician Assistant


CLIENT: U.S. Air Force Eaker Center


SUMMARY:

The Associate of Applied Science Degree in Air Force Leadership and Management's Studies also known as the Air Force Civilian Associate Degree Program's (CADP) focus is to provide foundational leadership, management, behavioral and air power development for Air Force civilians. Ira C. Eaker Center for Leadership Development administers the CADP program through the Civilian Leadership Development School (CLDS) based upon its mission of providing civilian undergraduate and professional continuing education and workforce development integrated with the Total Force.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • The individual will provide administrative support to the Air Force Civilian Associate Degree Program (CADP) and will be responsible for providing (CADP) coordination and integration of multiple functions relative to student support processes, correspondence and liaison with students as well as internal and external organizations.
  • Individual will also answer phone calls, manage organizational email box and respond as appropriate, take meeting notes, make appointments and schedule meetings, as needed in support of CADP processes, students and staff members.
  • Individual will also act as a liaison with the AU library and other AF or AU research/library venues for course instructors, staff and students and may coordinate IT issues for access and/or identify research publications useful for both instructors and students, based upon instructor and CADP requirements.
  • Coordinate the reception and ongoing interaction of proposed students into the program using processes within program and AU policies and program and AU Registrar system's, to include: initial program registration; all course registrations, disenrollment's, withdrawals, completions; and program graduation, withdrawals or disenrollments.
  • Register students into the AU registration system's, course and the learning content management systems as needed for full program and individual courses associated with the degree program, to include both required program major courses and AU courses identified as optional courses for elective credit based on identified degree plan requirements.
  • Ensure each student is attached to the CADP education goal in AFVEC/AFAEMS and that a generic academic advising plan/sheet is uploaded into AU Registrar system/s and Air Force Virtual Education Center (AFVEC) before the end of the CADP orientation course (SOAR).
  • Prepare and complete administrative documents, forms, and tracking sheets to process student actions, which may include (but is not limited to) items to transfer credit into the program, track student progress of completion of courses required in the program, inform students of status within program and validate program completion.
  • Provide monthly statistics covering enrollments, drops, and course completions status by each course and graduations by class year to Chief, Student Services at the end of each month.
  • Graduate the students by processing their names for insertion in AU Registrar systems and civilian personnel data system, if applicable.
  • Serve as the first-line customer service for all student questions and requests throughout the program, as well as basic CADP questions for potential applicants.
  • Develop and update frequently asked questions and update how-to sheets for earning management systems as necessary or as new issues arise; review for currency and accuracy at least every 6 months with corrections made NLT 3 - 5 days after the currently and accuracy is identified.
  • Track student progress within program.
  • Register students for appropriate course, based upon student progress within the program, no later than one week prior to class start date. Send out emails to students welcoming them to the program and/or upcoming registered courses and notifying them of course requirements (as required). Ensure students have all required log-ons, passwords, account accesses, and websites necessary to participate in the program/course.
  • Ensure students receive accurate information regarding class start/access at least one week prior to class start date. Be the focal point of student questions regarding access to the learning management systems.
  • Provide first-line basic tech support for students encountering difficulties accessing online learning management systems. Basic tech support problem resolution may include things such as: providing students with the instructions to reset a lost password, directing students to how-to guides discussing usage/features of the system/s, providing info from lessons learned in daily interactions with previous students and incorporating into frequently asked questions sheet, directing students to elevate issues out of AU control to their home station (or home) tech support.

Requirements

EDUCATION and/or EXPERIENCE:

  • Bachelor's Degree
  • Minimum of 2 years educational administrative experience working in secondary, post-secondary schools/universities in areas such as registrar, student advising or other similar student support offices responsible for maintaining/updating academic student records and providing customer service to both students and faculty
  • Air Force civilian or Air Force military experience
  • Proficient with the following systems: Microsoft Office Suite, Canvas Learning Management System, and any school or university Student Information Systems
  • Strong written and oral communications skills, as well as excellent organizational and interpersonal skills
  • Demonstrated excellence in attendance and punctuality

LANGUAGE SKILLS:

Must be able to speak, read, write, and understand English. Ability to read, comprehend and explain instructions, letters, memos, emails, and correspondence from inside the organization as well as from external sources. Ability to effectively respond, communicate and present information to senior management, contracting officials, clients, and other employees in the organization.


REASONING ABILITY:

Ability to organize work, define and solve problems, establish, and manage priorities, collect data, establish facts, and draw valid conclusions based on facts. Project Manager participates in prioritization of work and decision-making on allocation of resources. The incumbent must be able to analyze a situation analytically, evaluate the facts/data and formulate a plan of action.
