You'll serve as a trusted partner to executive leadership, helping manage competing priorities, coordinating key initiatives, maintaining critical client and business relationships, and ensuring nothing falls through the cracks. This role requires someone who is resourceful, detail oriented, and comfortable taking ownership without needing constant direction.

  • Assist with client-related administrative processes and ensure accurate record keeping
  • Partner with internal teams, vendors, and external stakeholders to drive projects and initiatives forward
  • Track deliverables, deadlines, and follow-up items to ensure commitments are completed
  • Handle sensitive financial, business, and personal information with the highest level of confidentiality
  • Support operational and strategic projects as needed

Qualifications
  • 3+ years of Executive Assistant, Senior Administrative Assistant, or comparable executive support experience
  • Experience within wealth management, financial services, banking, insurance, accounting, or another professional services environment
  • Strong understanding of executive support, client service, and business operations
  • Experience working with CRM systems (Salesforce experience strongly preferred)
  • Advanced proficiency with Microsoft Office Suite and business communication tools
  • Exceptional organizational and time-management skills
  • Strong attention to detail with a commitment to accuracy
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities while maintaining professionalism and composure
  • Proven ability to anticipate needs, solve problems, and execute with minimal oversight

Preferred Experience
  • Supporting C-suite executives, founders, or senior leadership teams
  • Salesforce CRM experience
  • Experience in wealth management, financial planning, investment management, banking, or insurance
  • Exposure to client documentation, financial paperwork, or regulated industries
  • Event coordination, executive meeting planning, or client-facing initiatives

What We're Looking For
  • Highly organized and detail-oriented
  • Proactive rather than reactive
  • Strong sense of ownership and accountability
  • Professional, polished, and client-focused
  • Excellent follow-through and execution
  • Able to balance competing priorities without sacrificing quality
  • Trusted partner who can anticipate needs and stay one step ahead

Benefits & Perks
  • Blue Cross Blue Shield PPO Medical Coverage with multiple plan options available
  • 401(k) with up to 4% employer match
  • 10 days of PTO starting in year one, with additional PTO earned based on tenure
  • Paid Birthday Off
  • Paid Company Holidays
  • Direct access to executive leadership and decision-makers
  • High-visibility role with significant impact on daily operations
  • Professional, collaborative office environment
