Administrative Assistant
Fish Window Cleaning / Janus Services Corp is hiring a proactive Administrative Assistant for our small, but busy, North Phoenix office. We are looking for an exceptional professional who does more than just manage a deskyou anticipate needs before they arise. As the "voice" of our office, you create the critical first impression of our brand and play a major role in our continued growth.

  • Operational Excellence: Expertly handle accounts receivable and day-to-day office functions with uncompromising attention to detail.
  • Customer Experience: Take ownership of the "first impression," ensuring every customer's interaction is seamless and positive.
  • Proactive Problem Solving: Identify potential problems and take measures to avoid them to keep us running smoothly.

Compensation $20-$22/hour, based on experience
Schedule: Monday-Friday, start: 9am.
End: Between 1pm and 3pm, depending on workload (20 to 30 hours per week).
Essential Duties and Responsibilities:
  • Managing email communication (can be numerous at times)
  • Collecting current and past due accounts
  • Processing check, cash and credit card payments into our database
  • Creating and maintaining relationships with National Maintenance Companies and their payment processes
  • Creating bank deposits
  • Entering, scheduling, and confirming job services into our database
  • Instructing window cleaners on completing work orders and invoices properly
  • Filing out all necessary paperwork
  • Answering phones (< 10 calls/day; seeking 100% capture)
  • Office maintenance (e.g. common area wastebaskets, sweeping when needed)
Essential Qualifications:
  • Very high attention to detail must be able to reliably notice and communicate elaborate details
  • Competent and efficient must be able to multitask and to process the volume of work and communication
  • Good organizational skills and ability to follow-through
  • Friendly, outgoing personality, love helping people
  • Excellent communication skills on the phone, email and in person
  • Demonstrate self-confidence and trustworthiness
  • Ability to learn new software and systems
  • Working knowledge of Word, Excel, and Outlook (may be tested)
  • High School diploma/GED required
  • Office-related experience is preferred
  • Reliable transportation
