Word Processing Specialist
Location: NJ Office (On-site) Supporting both NJ and NY Schedule: Full-Time | MondayFriday Classification: Non-Exempt Salary: Market-based, depending on experience (Please indicate applicant's salary requirement)
What You'll Do:
- Produce and edit documents using Windows 10, Office 2016, Office 365, iManage, Word, Excel, PowerPoint, Microsoft Outlook, Nuance PDF Converter, Adobe Acrobat, Kofax, Best Authority, Westlaw, Lexis, and Aderant.
- Assist with application upgrades, testing, and recommendations.
- Convert and clean up documents; create and revise complex legal documents according to firm guidelines and formatting standards.
- Provide user support and technical assistance via email, phone, helpdesk, and in-person.
- Print and prepare complex legal documents.
- Facilitate the creation and editing of Tables of Authorities and Contents using Best Authority; hyperlink with Westlaw/Lexis and apply bookmarking.
- Transcribe dictation from analog/digital formats using BigHand.
- File legal documents electronically (E-Filing) in both Federal and State Courts in NJ and NY.
- Conduct in-person and virtual notarizations as needed.
- Step in to perform department secretarial duties when required.
What You'll Bring:
- A minimum of five years of legal secretarial and/or word processing experience in a law firm setting.
- Advanced proficiency in legal software, including Microsoft Office Suite (Word, Outlook, Excel, PowerPoint), Windows 10, Office 365, and iManage.
- Strong customer service orientation with a proactive, professional demeanor.
- Excellent problem-solving, organizational, and interpersonal skills.
- Ability to manage multiple tasks efficiently and meet tight deadlines.
- Outstanding written and verbal communication skills.
- A demonstrated ability to learn new technologies quickly and effectively support end-users.
