Role DescriptionHarlequin is seeking an experienced Project Manager to join our team in Farmingdale, NY.This is a full-time, on-site position responsible for managing custom retail fixture, visual merchandising, interior, window display, and experiential projects from initial client brief through engineering, fabrication, installation, and final project close-out.As the primary point of contact for assigned clients, the Project Manager serves as the central link between our clients and internal teams, ensuring projects are delivered on time, within budget, and to the highest quality standards. You will collaborate closely with Estimating, Engineering, Production, Purchasing, Logistics, Installation, and Finance while maintaining clear, proactive communication throughout every stage of a project.This role is ideal for someone currently working in retail fixtures, custom fabrication, experiential marketing, millwork, museum exhibits, architectural fabrication, or commercial interiors who enjoys seeing projects through from concept to completion. Success in this role requires exceptional organization, commercial awareness, strong communication skills, and the ability to manage multiple fast-moving projects while building lasting client relationships.
Responsibilities

  • Serve as the primary point of contact for assigned clients, building strong relationships through proactive communication, responsiveness, and exceptional customer service.
  • Manage multiple custom fabrication and retail environment projects simultaneously from client brief through estimating, engineering, fabrication, installation, invoicing, and project close-out.
  • Develop and maintain project schedules, ensuring milestones and client deadlines are achieved.
  • Coordinate closely with Engineering, Production, Purchasing, Logistics, Installation, and Finance to keep projects moving efficiently through every phase.
  • Review project specifications, drawings, and scope to ensure technical accuracy and successful execution.
  • Work closely with the Estimating team to review project costs, pricing, and change orders while maintaining project profitability.
  • Coordinate external vendors and subcontractors, ensuring quality, budget, and schedule expectations are met.
  • Monitor fabrication progress, quality control, finishes, and production schedules to ensure work meets Harlequin’s standards.
  • Identify project risks early and proactively develop solutions before they impact schedule or budget.
  • Coordinate sampling, site surveys, procurement, shipping, logistics, and installation activities.
  • Prepare and maintain project documentation, schedules, pack lists, and internal tracking systems.
  • Attend client meetings, production reviews, and installations when required.
  • Support project invoicing, financial reconciliation, and post-project reviews to identify lessons learned and process improvements.

Qualifications

  • Bachelor’s degree preferred or equivalent industry experience.
  • 3-5+ years of project management experience within one or more of the following industries:

  • Strong budgeting, cost management, and commercial awareness.

  • Strong client relationship and stakeholder management experience.
  • Proficiency in Microsoft Office.
  • Experience with ERP systems, project management software, or CRM platforms is considered an asset.
