Job description

We are seeking an enthusiastic and service-driven Fitness & Wellness Manager to support member inquiries, tours, and onboarding at HEIMAT. This role is responsible for delivering a seamless, world-class concierge and lifestyle experience throughout the entire membership journey while upholding the brand's luxury standards.

Key Responsibilities:

Client Relationship Management

  • Serve as the primary point of contact for prospective and current clients via email (LA_Training@Heimat.com) and in person
  • Manage client pipelines, including new member onboarding and tracking
  • Coordinate responsibilities with co-managers (where applicable) under the guidance of Personal Training leadership
  • Schedule and oversee new member fitness assessments
  • Support programming oversight and client coverage

Operational Management

  • Lead the operational components of New Hire Onboarding, Payroll, and scheduling
  • Audit, manage, and reconcile training session pipelines on a daily, weekly, and pay-period basis
  • Oversee and execute bi-weekly payroll processes and communication
  • Ensure compliance with Personal Training certifications (CPR, licensure, etc.)
  • Coach trainers on sales performance and business development
  • Drive lead generation efforts and support trainer revenue growth strategies
  • Establish and support goals tied to club events, including post-event follow-up
  • Facilitate monthly or bi-monthly department meetings/forums
  • Develop and maintain SOPs, ensuring consistency in operational execution
  • Support Group Fitness Instructors through financial planning related to compensation structures
  • Act as Duty Manager as needed, ensuring operational excellence across departments

KPI Management

  • Proactively address business trends in class utilization vs. Club usage, identify peak times based on usage and maximize studio capacities to curate efficient scheduling.
  • Performance management of all Group Fitness Managers.

Additional Fitness Leadership Responsibilities

  • Oversee trainer performance, scheduling, and monthly business projections
  • Conduct regular business management meetings to support trainer development
  • Partner with Membership Advisors to drive personal training sales and bookings
  • Monitor business trends and implement improvements to performance and retention
  • Support development of digital training platforms and educational initiatives
  • Foster collaboration across departments to enhance the member experience
  • Participate in hiring, onboarding, and performance management processes
  • Promote a high-performance, service-oriented team culture aligned with brand standards

Spa Responsibilities

Client Relationship Management

  • Communicate with spa clients regarding bookings, feedback, and service recovery
  • Monitor satisfaction levels and continuously enhance the member wellness experience
  • Ensure alignment with HEIMAT's luxury service standards while maintaining financial performance

Operational Management

  • Oversee hiring and staffing of the Spa team
  • Lead onboarding for new Spa team members
  • Manage bi-weekly payroll for the Spa department
  • Reconcile vendor POS and ensure timely invoice payments (Net 30 terms)
  • Manage inventory ordering in partnership with the Spa Supervisor
  • Oversee spa equipment maintenance, safety standards, and scheduling operations
  • Act as Duty Manager when needed

Additional Spa Leadership Responsibilities

  • Lead recruitment, onboarding, training, and development of Spa team members
  • Implement upselling strategies to enhance member experience and revenue
  • Partner with brand stakeholders and leadership to develop wellness programming, events, and packages
  • Support strategic development of a luxury boutique spa business model
  • Utilize technology and market insights to enhance service offerings and member engagement
  • Foster a collaborative and elevated team culture aligned with brand expectations
  • Bachelor's degree preferred (Kinesiology, Exercise Science, or Sports Management)
  • Current national certification; CPR/AED and First Aid required
  • 5-10 years of experience in Personal Training and programming
  • Minimum 3 years of leadership experience (fitness leadership preferred)
  • Proven ability to drive financial and sales performance
  • Strong business acumen and operational leadership skills
  • Experience leveraging technology to enhance member engagement and training outcomes
  • Demonstrated ability to build and maintain high-performing teams
  • Excellent interpersonal, communication, and organizational skills
  • Strong attention to detail and ability to manage high-volume communications
  • Passion for the fitness and wellness industry

Physical Requirements

  • Ability to lift up to 50 pounds
  • Ability to move or assist with moving equipment and furniture
  • Comfortable using ladders or step stools
  • Ability to climb stairs multiple times daily

Compensation: $ 95,000 - 105,000 yearly
