Inspire Exercise Medicine is a medical fitness facility that integrates exercise and nutrition with physician-led care to improve the health and cancer-specific outcomes of our patients. Position Summary

We are seeking a friendly, organized, dependable, and proactive Front Desk Patient Services Coordinator to serve as one of the primary points of contact for our patients.

This is a highly patient-facing position and an important part of the daily operation of Inspire Exercise Medicine. The ideal candidate enjoys interacting with people, communicates professionally, stays organized in a busy environment, and takes pride in creating a welcoming experience for every patient who enters the facility.

The position is responsible for front desk operations including patient scheduling, registration, communication, payment collection, documentation, and general administrative support.

Key Responsibilities

  • Greet patients and visitors warmly and help create a      welcoming, supportive environment.
  • Answer incoming phone calls and emails and      appropriately direct questions or requests.
  • Register new patients and accurately enter demographic,      referral, and other required information.
  • Schedule patient appointments, exercise sessions,      reassessments, and re-evaluations.
  • Maintain patient schedules and assist patients with      scheduling changes as needed.
  • Accurately enter and maintain information within      Mindbody and other internal systems.
  • Assist with referral coordination and ensure referral      information is accurately documented.
  • Process required paperwork and verify that necessary      information is complete.
  • Maintain accurate daily records and assist with      spreadsheet and data tracking.
  • Collect patient payments and assist with outstanding      account balances when necessary.
  • Communicate scheduling issues, patient concerns, and      other important information to the appropriate team members.
  • Maintain an organized and professional front desk and      patient reception area.
  • Work collaboratively with trainers, clinical staff, and      administrative team members to support smooth daily operations.

Qualifications

  • High school diploma or equivalent required.
  • At least one year of receptionist, administrative,      customer service, or similar professional experience preferred.
  • Healthcare, medical office, fitness, or patient-facing      experience is preferred but not required.
  • Excellent interpersonal and communication skills.
  • Strong organizational and time-management skills.
  • Ability to manage multiple responsibilities in a busy      environment.
  • Strong attention to detail and accuracy with data entry      and administrative tasks.
  • Comfortable learning and using scheduling and      administrative software.
  • Mindbody experience is a plus but not required.
  • Professional, dependable, and comfortable communicating      with patients, families, physicians' offices, and team members.
  • Positive, patient-centered attitude and ability to work      effectively as part of a team.
