The Opportunity

The Law Offices of Samer Habbas & Associates, PC is seeking a professional and dedicated Reception Lead to join our growing team. This managerial role requires a highly organized, personable candidate who can provide daily support to the firm's Reception team. The ideal candidate should have experience in a Law Firm setting or transferable experience. This role is full-time, fully on-site in our Irvine, CA office.

Responsibilities

Managerial Duties:

  • Manages day-to-day operations of the Firm's Reception team, including handling escalations, creating the Reception schedule, training team members and providing general managerial support
  • Ensure the reception team maintains a welcoming appearance in the entrance area, front lobby, reception desk, and breakroom
  • Delegates reception tasks such as calendaring, scheduling, and office inventory restocks
  • Runs frequent reports and audits through Cox and CallRail to ensure operations are running smoothly
  • Analyze call data, identify improvement opportunities, and make recommendations to the Director of Operations

Reception Duties:

  • Professionally manages a multi-line phone system with poise, ease and confidence
  • Personable and professional in greeting all employees and guests (clients, candidates, vendors, etc.)
  • Assists with file clerk duties such as scanning and labeling documents
  • Validates parking tickets for business-related guests
  • Maintains client confidence by keeping client/attorney information confidential
  • Provides general office support; takes on new projects and initiatives as required

Minimum Qualifications

  • 2-3+ years managing a front desk environment
  • 5+ years of receptionist/front desk experience and managing multi-line phone systems
  • Superb communication etiquette (listening, verbal, and written) with excellent reading comprehension
  • Strong interpersonal and relationship-building capabilities
  • Collaborates well with others while independently motivated
  • Comfortable with learning new computer software and AI programs
  • Customer-focused and willing to go above and beyond if necessary to meet the needs of the business/clients
  • Detail-oriented, customer-focused, and possesses intuitive problem-solving capabilities
  • Approachable and professional, capable of navigating various situations with ease
  • Proficient with Microsoft Office Suite, Google Workspace, Windows File Explorer, scanners, and copiers

Preferred Qualifications:

  • Bachelor's degree
  • Previous experience with case management software, such as Filevine
  • 3+ years of experience working in a law firm or corporate legal environment
