Job description

The Seasonal Special Events Associate supports the planning, coordination and execution of special events at Keeneland during the seasonal race meet and other peak event periods. This position serves as a primary point of contact for assigned events and provides a high level of customer service to clients and guests. The Associate works closely with Keeneland Hospitality and supporting departments to ensure events are executed seamlessly and deliver a world-class experience.

This is a seasonal, patron-facing position requiring a flexible schedule, including nights, weekends and race days. The position may be assigned to various event locations throughout the property and will serve as a liaison between event clients, guests and the Keeneland Hospitality team.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Race Meet – Group Events

  • Serve as a Keeneland representative for assigned group spaces and events during the race meet.
  • Act as the liaison between clients, guests and the Keeneland Hospitality team.
  • Assist with managing catering orders and event details for assigned spaces.
  • Greet and assist patrons, providing a welcoming and knowledgeable Keeneland experience.
  • Identify opportunities to educate guests about the sport of racing and Keeneland to help cultivate a new fan base.
  • Collaborate with other departments to enhance the race day experience for groups, including the Keeneland Shop, Tours and BETologists.
  • Provide on-site support and assistance to clients and guests throughout the race day.

 Customer Service

  • Respond to client and guest questions in a timely and professional manner.
  • Provide accurate information regarding event details, facilities, services and Keeneland offerings.
  • Communicate questions, concerns and requests to the appropriate internal departments.
  • Assist with directing clients and guests to the appropriate event locations and resources.

On-Site Event Support

  • Serve as a visible Keeneland representative during assigned events with a strong emphasis on guest service.
  • Provide on-site support for meetings and events alongside the Dining Manager and other Keeneland staff.
  • Proactively identify and communicate event issues or guest concerns and assist with resolving them.
  • Help ensure event spaces are properly prepared and that event details are communicated to the appropriate teams.
  • Assist with coordinating event responsibilities between Keeneland departments.
  • Complete post-event follow-up and communicate relevant information or feedback to the appropriate internal departments.
  • Assist with internal meetings and events as needed.
  • Perform administrative functions related to the special event program.

QUALIFICATIONS

  • Previous experience in hospitality, events, catering, customer service or a related field preferred.
  • Previous event planning or coordination experience preferred.
  • Strong customer service and communication skills.
  • Ability to work effectively in a fast-paced, guest-facing environment.
  • Ability to work independently while also functioning effectively as part of a team.
  • Strong organizational skills and attention to detail.
  • Ability to remain professional and composed while managing multiple priorities.
  • Must be available to work a flexible seasonal schedule, including nights, weekends, holidays and race days.
  • Ability to move throughout Keeneland’s facilities and event spaces for extended periods as required by event operations.
