Job description

Overview
We are seeking a full-time Event Coordinator at Garmin's U.S. headquarters in the Greater Kansas City area. The Event Support/Operations Coordinator supports the execution of internal events across campus, ensuring a smooth and well-organized experience for attendees and stakeholders. This role focuses on logistics, coordination, and hands-on support, rather than event planning or strategy. Working closely with internal partners, this position plays a key role in preparing event spaces, coordinating day-of activities, and helping events run efficiently from start to finish.
Note: This role is centered on event execution and support. It does not involve leading event planning or developing event concepts
Essential Functions
  • Coordinate on-site event logistics in partnership with Facilities, Security, IT, Café, Legal, Risk, Purchasing, and other internal/external stakeholders
  • Support execution of events by assisting with timelines, deliverables, and logistics to ensure a seamless experience
  • Assist with maintaining the company-wide events calendar, including scheduling and updates
  • Track and manage event requests, forms, and space reservations
  • Participate in cross-functional meetings to gather details and align on event support needs---security
  • Communicate with event organizers to clarify requests, provide logistical guidance, and support planning efforts (i.e getting tables, chairs, etc)
  • Proactively identify and escalate scheduling conflicts or logistical issues, helping resolve them as needed
  • Serve as a day-of event support contact, assisting with setup, coordination, and real-time issue resolution
  • Assist with evaluating event processes and recommend operational improvements related to scheduling, tracking, and communication
  • Provide support for off-site events, including coordination, communications, and material distribution
  • Assist with community events, including registration, logistics coordination, and vendor communication in partnership with internal teams
  • Maintain awareness of event requirements and logistics across a variety of internal event types
  • Support maintaining a list of approved and prospective vendors
  • Deliver strong customer service through professional collaboration with internal teams and external partners
  • Travel locally within the Kansas City metro area as needed to support events

Basic Qualifications
  • High School Diploma or GED AND a minimum of 1 year of experience relevant to the essential functions of this role
  • Ability and willingness to perform physical event-related tasks, including setup, teardown, and distribution of event materials
  • Experience supporting events, meetings, or logistics in a professional environment
  • Strong organizational skills with the ability to manage multiple tasks simultaneously
  • Ability to handle changing priorities and troubleshoot issues in real time
  • Effective communication and collaboration skills across multiple teams
  • Ability to bend, twist, and safely lift to fifty-five pounds using proper lifting techniques
  • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint
  • Strong verbal, written, and interpersonal communication skills
  • Excellent analytical, and problem-solving skills with strong attention to detail
  • Self-motivated, resourceful, detail-oriented, and team-focused with a positive attitude
  • Demonstrated passion for events and associate engagement
  • Ability to maintain confidentiality regarding business operations, events, and Human Resources matters
  • Available to work evenings and weekends as needed
  • Ability to travel locally, including occasional pick-up and transportation of event supplies
  • Valid Driver's License
