Job Summary/Basic Function
Job Summary:
The Administrative Coordinator is responsible for providing administrative support to the Associate Director of Research (ADR), researcher faculty, and other research staff members associated with the Agricultural Research Development Program (ARDP) under the Central State University's (CSU) Land-Grant Programs. More specifically, this position provides administrative support to all operations related to research projects and other programming tasks under the purview of the ARD in ARDP. As the primary point of contact for the ARDP, the Administrative Coordinator directly assists the ARDP with key administrative functions, including processing requests related to travel, office space, and leave, managing time and effort reporting, coordinating and scheduling departmental meetings and seminars, and other related assigned duties to ensure the daily efficient operation of the office.
Essential Duties and Responsibilities:
• Welcome guests and customers by greeting them in person or via telephone, answering or directing inquiries.
• Prepare and produce information/minutes by transcribing, formatting, recording, editing, retrieving, copying, collecting, analyzing, and transmitting text data and graphics.
• Assist with departmental meetings, seminars, events, and other related duties and program preparation, planning, and execution.
• Assist with maintaining the Associate Director of Research appointment schedule and with planning and scheduling meetings both in-person and via Teams, conferences, and travel.
• Assist with coordinating, arranging, and preparing official travel requests, including supporting and coordinating the research car fleet.
• Enter requisitions in the university enterprise management system, prepare other expense-related documents, and monitor the processing of documents to conclusions.
• Reconcile monthly Center Card reports for the Associate Director of Research.
• Manage critical/time-sensitive projects as needed and as assigned by the Associate Director of Research.
• Establish and maintain official files and ensure completeness and accuracy.
• Assist in providing historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions as necessary.
• Contribute to team effort by accomplishing related results as needed.
• Assist with managing office spaces and key assignments at Emery Hall
• Coordinate the use of conference/meeting rooms and research vehicles.
• Maintain and manage inventory of office supplies
• Maintain confidentiality of sensitive information
• Perform other duties and responsibilities as assigned by the Associate Director for Research.
Minimum Qualifications
• An associate's degree in an appropriate area to provide administrative assistance or a minimum of five years of professional experience in business, education, administration or related activity is desired.
• A successful candidate should be able to assist the researchers and staff in ARDP in paperwork related to travel, acquiring supplies, services and equipment.
• The ability and willingness to work collaboratively, a desire to build administrative and interdisciplinary relationships, and experience in team building and facilitation.
• The ability to learn new software programs as needed.
• Ability to maintain confidentiality.
• Ability to work independently of direct supervision.
• Ability to operate office equipment such as fax machine, copiers, and multiline phone systems.
• Ability to lift and carry supplies/materials (up to 35lbs).
• Must be able to travel to research locations in Ohio and neighboring states as directed.
Preferred Qualifications
• Knowledgeable of current computer/tablet smart systems-based technologies used in office work, and in institutional functions software such as BANNER.
