Job description

Position Summary
We are seeking an experienced Executive Administrator to provide high-level executive support to a Chief Executive Officer and leadership team, while also owning day-to-day site operations for our Seattle office. This temporary engagement is designed to cover a planned parental leave. The ideal candidate is a seasoned professional who can step into an established rhythm with minimal ramp-up time, exercise absolute discretion, and seamlessly balance complex executive calendars with local facilities and office management.
Key Responsibilities
Executive & Administrative Support
  • Manage a complex, frequently changing executive calendar, proactively resolving scheduling conflicts and prioritizing competing demands.
  • Handle sensitive internal and external communications on behalf of the CEO and executive leadership.
  • Draft, edit, and proofread executive correspondence, presentations, board materials, and reports.
  • Establish and maintain confidential filing systems and administrative protocols.
  • Maintain the highest level of confidentiality, professionalism, and discretion.

Office & Site Management
  • Serve as the accountable on-site lead for the Seattle office, managing day-to-day operations and acting as the primary point of contact for facility needs.
  • Oversee relationships with building management, landlords, and facilities vendors (security, maintenance, cleaning).
  • Manage office supplies, local inventory, site-related budgets, and related vendor invoices.
  • Ensure a safe, functional workspace compliant with standard workplace safety protocols, coordinating space planning and workstation setups for staff and visitors.
  • Partner with Human Resources on local onboarding logistics and employee engagement initiatives.

Project & Stakeholder Coordination
  • Support strategic administrative projects, track deliverables, and conduct research to support executive decision-making.
  • Serve as a trusted point of contact for internal teams, external partners, and community stakeholders.
  • Coordinate logistics for virtual and in-person meetings, board functions, and corporate events, including agenda preparation and minute-taking.
  • Handle regulatory or formal correspondence with external agencies and governing bodies as required.
  • Execute a smooth knowledge transfer and handover with the returning permanent Executive Assistant at the conclusion of the assignment.
Required Skills & Qualifications
  • Minimum of 5 years of experience providing high-level executive support in a corporate, professional services, or regulated industry environment.
  • Prior experience as a temporary or interim Executive Assistant, demonstrating the ability to ramp up instantly with minimal onboarding.
  • Demonstrated experience managing physical office spaces, vendor relationships, and local site operations.
  • Advanced proficiency with Microsoft Office applications, calendar management tools, and virtual collaboration platforms.
  • Exceptional written and verbal communication skills, with rigorous attention to detail.
  • Available to work fully onsite in Seattle for the duration of the assignment, with flexibility for occasional after-hours or weekend coordination if urgent needs arise.
  • Bachelor's degree in business administration or a related field preferred.
Preferred Qualifications
  • Familiarity with board governance processes and corporate compliance/regulatory correspondence.
  • Experience working within a heavily regulated sector (e.g., financial services, insurance, legal, healthcare, or corporate governance).
