Our Operations Managers keep the engine of Key Safety running at full speed. You’ll lead the Operations Administrative Coordinator team, ensure accuracy in order fulfillment, and handle escalated client issues with confidence.

Job Summary

The Operations Manager oversees the daily work of the Operations Administrative Coordinators, ensuring timely order processing, accurate billing, and outstanding client service. This role is responsible for managing department SOPs, supporting interdepartmental communication, and mentoring team members to strengthen performance and uphold Key Safety’s core values.

Essential Functions

  • Client Experience Excellence: Ensure that processes, practices, and team actions support a high-quality customer experience while facilitating the growth of the organization.
  • Team Leadership: Train, mentor, and guide the operations team while reinforcing Key Safety’s values. Provide direction, guidance, and feedback to the Operations team in a manner that supports ongoing engagement. Facilitate interdepartmental communication. Oversee client purchase order status. Address escalated client issues. Drive and reinforce Key Safety's Core Values.
  • Process Oversight: Ensure adherence to SOPs and identify opportunities for optimization. Develop and ensure adherence to operational standard operating procedures.
  • Order Processing: Oversee client orders, quotes, and purchase orders with minimal error. Provide clarification and address client questions and concerns that arise. Provide updates on the status of orders. Support the development and integration of web-based sales order processes.
  • Billing & Audits: Manage vendor bills, client invoices, and regular audits to ensure accuracy.
  • Cross-Department Coordination: Partner with sales, service, and vendors to ensure seamless order fulfillment. Serve as a role model in supporting the broader team and building organizational capability.
  • Reporting & Accountability: Monitor performance through PO logs, invoices, and returns and ensure appropriate results focus among team.


Education, Experience & Proficiencies

  • Bachelor’s degree preferred; high school diploma or equivalent required.
  • 3+ years of experience in operations, customer service, or related fields.
  • Excellent organizational, analytical, and communication skills.
  • Ability to balance multiple operational responsibilities simultaneously.
  • Strong technical proficiency with Microsoft Office, SharePoint, OneDrive, and QuickBooks.
  • Ability to mentor and develop team members.

Work Environment & Physical Requirements

Primarily office-based with some warehouse activity. Must be able to lift up to 45 lbs., sit or stand for extended periods, and use standard office and warehouse equipment. PPE is required when appropriate.
