Location: North Side of Grand Rapids, MI
Schedule: Full-Time | Monday-Friday | 8:00 AM-5:00 PM
Hours: 40 hours per week

Position Summary
We are looking for a highly organized, customer-focused Customer & Operations Coordinator to support day-to-day operations and keep customer orders moving smoothly from entry through fulfillment.
This position combines customer service, order management, purchasing, shipping/logistics, and warehouse coordination. The ideal candidate is proactive, detail-oriented, resourceful, and comfortable taking ownership of issues and following them through to resolution.
Key Responsibilities
  • Enter and process customer orders received by phone, email, and web.
  • Monitor open orders and proactively communicate updates, delays, backorders, and ship-date changes to customers.
  • Respond to customer questions, provide basic product guidance, and prepare basic quotes.
  • Process customer prepayments and payment requests.
  • Create and manage purchase orders, including dropship and stock orders.
  • Communicate with vendors to confirm product availability, pricing, and expected ship dates.
  • Coordinate with sales, warehouse, vendors, and customers to keep orders on schedule.
  • Fulfill in-stock and dropship orders and maintain accurate tracking information.
  • Assist with freight arrangements, shipping schedules, freight rates, and damage claims.
  • Support inventory counts and help identify shortages or issues that could affect customer orders.
  • Maintain accurate customer, vendor, pricing, and order information in the ERP system.
  • Assist with invoices, past-due accounts, vendor checks, and other administrative tasks as needed.
  • Provide additional warehouse and shipping support when needed.
  • Identify potential problems early and take action to prevent customer-impacting issues.
What We're Looking For
  • Customer service and/or order fulfillment experience, preferably in a B2B environment.
  • Experience with shipping, warehouse operations, purchasing, inventory, or logistics is a plus.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and stay on top of open tasks.
  • Proactive, resourceful, and comfortable solving problems independently.
  • Strong follow-through and willingness to take ownership.
  • Ability to learn a broad product line and provide basic product guidance.
  • ERP experience is helpful but not required.
  • Basic knowledge of freight and logistics is a plus.
  • Comfortable working closely with customers, vendors, sales, and warehouse teams.
