Job description

TITLE: Warehouse Admin

DEPARTMENT: ย Warehouse

REPORTS TO: Depot Supervisor

Position Summary:

This position will be responsible for administration duties related to invoice processing, carrier bill of lading, stock receipt process, bin location changes, etc.


Essential Functions:

ยทย ย ย ย ย ย ย ย Oversee the check-in of all drivers.

ยทย ย ย ย ย ย ย ย Prepares bills of lading; checks items to be shipped against work orders to ascertain that quantities, destination, and routing are correct.

ยทย ย ย ย ย ย ย ย Schedule pick-ups with freight carriers per companyโ€™s specifications and monitors to ensure pick-up and delivery deadlines are met.

ยทย ย ย ย ย ย ย ย Compares cost and transit times from different carriers & chooses the most affordable/reliable carrier. Consolidating freight.

ยทย ย ย ย ย ย ย ย Provide truckers with the necessary information and paperwork for the pick-up of these orders.

ยทย ย ย ย ย ย ย ย Communicates with sales regarding changes or delays in schedules.

ยทย ย ย ย ย ย ย ย Make certain that that shipping clerk(s) coordinate with the dock and the drivers what door they will be loading product in.

ยทย ย ย ย ย ย ย ย Coordinate with certain carriers that have drop trailers informing them of trailer number, seal number and paperwork procedure.

ยทย ย ย ย ย ย ย ย Ensure all paperwork is properly signed by truck driver.

ยทย ย ย ย ย ย ย ย Close loads in the system.

ยทย ย ย ย ย ย ย ย Traces lost shipments and/or customer claims of lost shipments, initiates proof of delivery documents.

ยทย ย ย ย ย ย ย ย Communicate customer problems, leads, and inquiries to the appropriate personnel.

ยทย ย ย ย ย ย ย ย Maintain confidentiality of company information.

ยทย ย ย ย ย ย ย ย Generate invoices for products shipped daily.

ยทย ย ย ย ย ย ย ย Communicates with sales regarding changes or delays in schedules.

ยทย ย ย ย ย ย ย ย Proof all data and make any necessary corrections.

ยทย ย ย ย ย ย ย ย Is punctual and consistently available for work.

ยทย ย ย ย ย ย ย ย Perform other duties and responsibilities as required.

ยทย ย ย ย ย ย ย ย Ability to lift/move 25lbs using proper lifting skills unassisted.

Additional Duties

ยทย ย ย ย ย Participate in department meetings and training as required.

ยทย ย ย ย ย Comply with OSHA Standards, and other safety regulations, to assist in maintaining the safety and security of the warehouse.

ย 

Minimum Qualifications:

ยทย ย ย ย ย ย ย ย 2 years in warehouse, transportation, logistics experience.

ยทย ย ย ย ย ย ย ย High School Diploma or equivalent required.

ยทย ย ย ย ย ย ย ย Proficient in Transportation Management Systems.

ยทย ย ย ย ย ย ย ย Strong organizational skills; able to manage priorities and workflow.

ยทย ย ย ย ย ย ย ย Ability to work independently and as a member of a team.

ยทย ย ย ย ย ย ย ย Intermediate computer skills and knowledge of the internet, email, and Microsoft Office (Word, Excel).


Physical Demands and Work Environment

Predominately sedentary light office position with prolonged periods sitting at a desk and working on computer (80% of the workday).ย Continuously work on repetitive tasks and use hands and fingers to handle, grasp, control or feel objects.

Specific vision abilities required by this position include close vision and the ability to look at a computer monitor all day.ย The person in this position frequently communicates both verbal talk & hear (phone/ in person) and written (letter/text).

This is a largely sedentary role; however, some filing is required.ย This would require the ability to occasionally bend or stand to file documents and open filing cabinets.ย ย The employee is occasionally required to walk.

ย Due to the open environment of the warehouse, must be able to work in various weather and temperature conditions to include dust, gases, heat, humidity and cold.

Ability to lift/move 25lbs using proper lifting skills.
