Job description

Job Title: Assistant to Vice President of Advancement and Strategic Communications 

Reports To: Vice President of Advancement and Strategic Communications 

Classification: Full-Time, Salaried, 12-Month, Non-Exempt 

Job Summary: This role requires a highly proactive and intuitive professional who can anticipate the needs of the Vice President while also supporting the broader priorities of the Advancement and Communications team. The ideal candidate demonstrates a positive demeanor, sound judgment, strong organizational awareness and the ability to think several steps ahead with the spirit of service. 

Key Responsibilities: 

Administrative Support 

Provide essential day-to-day support to the VP, including calendar and schedule management and meeting preparation. 

Proactively anticipate the need of the VP while ensuring projects, communications, and team needs are addressed. 

Attend meetings with the VP as needed, capturing key notes, action items, and follow-ups. 

Coordinate correspondence and communications with internal and external stakeholders. 

Prepare materials, reports, and presentations for meetings, events, and strategic initiatives. 

Maintain organized records, tracking deadlines, deliverables, and project updates. 

Project Management 

Lead and coordinate strategic initiatives, campaigns, and events as directed across advancement, marketing, communications, and events. 

Collaborate with internal teams and external partners to ensure smooth execution of initiatives and events. 

Assist with planning and executing major events, including logistics, vendor coordination, and stakeholder communications. 

Monitor progress on key initiatives and provide regular updates to the President as directed, VP and advancement team. 

Qualifications: 

Bachelor’s degree required. 

Demonstrated experience in project management, administrative support, or related roles. 

Exceptional organizational skills, with an ability to manage multiple priorities simultaneously. 

Strong interpersonal skills; a collaborative, flexible, and team-oriented mindset. 

Excellent written and verbal communication skills. 

Proficiency in Google Suite (Docs, Sheets, Slides, Calendar), Microsoft Excel, and other office management tools. 

Experience with project management tools is a plus. 

Ability to handle sensitive and confidential information with discretion. 

Passion for education and alignment with Jesuit values and the mission of forming “Mens of Others”.
