Job description

Legal Administrative Assistant

Washington, DC | Hybrid After Training | $75,000–$90,000


A well-established law firm in Washington, DC is seeking an experienced Legal Administrative Assistant to provide high-level administrative support to a team of attorneys.

This is an excellent opportunity for a polished legal administrative professional who enjoys working in a collaborative, supportive environment. The position offers a 37.5-hour work week with occasional overtime and, once fully trained, the opportunity to work remotely two days per week.


Responsibilities

  • Manage attorney calendars, meetings, virtual conferences, and travel arrangements.
  • Prepare, revise, format, and proofread correspondence, memoranda, charts, tables, presentations, and other legal and business documents.
  • Assist with legal pleadings, summaries, presentations, and electronic filings.
  • Format complex documents, convert PDFs to Word, and create Tables of Contents and Tables of Authorities.
  • Maintain attorney contacts and electronic and paper filing systems.
  • Assist with conflict checks, opening new matters, and preparing engagement letters.
  • Enter and maintain attorney time entries.
  • Assist with monthly client billing.
  • Prepare expense reimbursement requests and maintain related tracking spreadsheets.
  • Maintain records relating to professional memberships, bar associations, and attorney activities.
  • Prepare news and regulatory update communications for distribution.
  • Conduct occasional research.
  • Provide back-up reception coverage as needed.
  • Manage multiple priorities and deadlines while maintaining a high level of accuracy and confidentiality.


Qualifications

  • 10–15 years of law firm experience preferred.
  • Bachelor’s degree preferred; substantial law firm or professional services experience may be considered in lieu of a degree.
  • Strong proficiency with Microsoft Office Suite, particularly Word, Outlook, and Excel.
  • Experience with document management systems such as NetDocuments or a similar platform strongly preferred.
  • Experience with legal timekeeping, billing, expense, and CRM platforms is a plus.
  • Exceptional organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage changing priorities and multiple attorney requests in a deadline-driven environment.
  • Professional, dependable, and comfortable working both independently and collaboratively.
  • Strong sense of ownership and pride in producing accurate, polished work product.


Compensation & Benefits

Salary: $75,000–$90,000, depending on experience, plus eligibility for a discretionary performance bonus.
