Location: Hybrid (In-Office Monday, Wednesday, Friday | Remote Tuesday, Thursday)

Compensation: $45,000 Base Salary + $150 Per Closing on Files Worked

Position Overview

The Transaction Coordinator plays a critical role in managing the flow of information and documentation throughout the acquisition and closing process. This position is responsible for coordinating transactions, conducting preliminary title research, tracking deadlines, and ensuring all parties involved in a transaction remain informed and aligned.

The ideal candidate is highly organized, detail-oriented, and comfortable working with legal documents, title-related matters, and multiple stakeholders throughout the real estate transaction process.

Key Responsibilities
  • Develop a deep understanding of and actively manage deal acquisition, marketing, and closing processes.
  • Conduct preliminary title research and review legal documents related to new acquisition files.
  • Assist with title clearance efforts by identifying potential issues and coordinating with title companies, attorneys, and other parties as needed.
  • Perform research in support of title clearance and transaction closing requirements.
  • Manage information flow and maintain accurate records within company systems, including Podio, Google Workspace, and Dotloop.
  • Coordinate communication between sellers, buyers, agents, appraisers, title companies, lenders, inspectors, contractors, attorneys, and internal teams.
  • Monitor transaction timelines and ensure all deadlines are met.
  • Manage a high volume of tasks while maintaining exceptional attention to detail and accuracy.
  • Prioritize responsibilities based on transaction needs, deadlines, and business priorities.
  • Remain knowledgeable about real estate market conditions, industry best practices, and transaction requirements.
  • Support Acquisition Managers, Administrative Staff, VP leadership, and company leadership as needed.
  • Perform additional duties related to transaction coordination and closing activities.
Qualifications
  • Experience in transaction coordination, transaction management, or a similar role within the real estate industry.
  • Familiarity with real estate contracts, title documents, closing documents, and legal paperwork.
  • Ability to conduct initial title research and identify potential title concerns.
  • Strong organizational skills with the ability to manage multiple transactions simultaneously.
  • Exceptional attention to detail and follow-through.
  • Strong written and verbal communication skills across phone, email, and text communication.
  • Experience coordinating efforts between multiple departments, vendors, and stakeholders.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Self-motivated with a desire to learn and grow professionally.
  • Strong teamwork and collaboration skills.
  • Experience with Podio, Dotloop, Google Workspace, or similar platforms is a plus.
  • Real Estate Broker's License preferred but not required.
