Real Estate Transaction Coordinator

Are you the kind of person who secretly loves a perfectly organized checklist, a clean contract, and the satisfaction of getting a deal across the finish line? Do you thrive in fast-paced environments where every day is different, and your work truly matters?

Summit Sotheby's International Realty is looking for a detail-loving, solution-driven Senior Transaction Coordinator / Real Estate Administrative Assistant to help power our residential transactions from listing to closing. You are the calm in the chaos, the steady hand in the process, and the person our agents trust to make sure nothing slips through the cracks.

If you enjoy being the behind-the-scenes MVP who keeps everything moving smoothly, you'll love this role.

What You'll Be Doing

  • You'll take ownership of the transaction process from start to finish
  • Managing residential real estate transactions from listing to closing
  • Reviewing contracts, disclosures, and addenda for accuracy and compliance
  • Serving as the central point of communication between agents, clients, and title/escrow
  • Tracking deadlines and contingencies to ensure smooth, on-time closings
  • Keeping files audit-ready and fully compliant with brokerage and state requirements
  • Problem-solving proactively when challenges arise
  • Maintaining organized digital records in our transaction management systems
  • Supporting agents with documentation, timelines, and process clarity
  • Identifying smarter, more efficient ways to improve workflows
  • Upholding the elevated service standards that define Summit Sotheby's

This is a role where your organization, foresight, and follow-through directly impact the success of every deal.

About You

You're not just organized. You're unshakeable under pressure, proactive, and energized by responsibility.

You likely have:

  • 2+ years of Nevada, Idaho, Utah, or California residential transaction management experience
  • Strong knowledge of Nevada contracts and compliance (Idaho, Utah, or California experience is a plus)
  • The ability to manage multiple transactions with minimal supervision
  • A calm, solutions-first mindset
  • High accountability and attention to detail
  • A desire to grow long-term within real estate operations
  • Strong communication skills and the ability to connect with different personalities
  • Confidence using Google Workspace, Microsoft Office, and Apple products
  • A natural curiosity about systems and technology that increase efficiency

Most importantly, you take pride in your work and genuinely enjoy helping others succeed.

About Us

Summit Sotheby's International Realty is the local affiliate of a globally recognized brand synonymous with exceptional service and elevated marketing. We're not standing still, and that's a good thing. Summit Sotheby's is growing, expanding into new markets, increasing transaction volume, and investing heavily in our people and systems.
