The Human Resources Specialist provides administrative HR support to the National Notary Associationโs 200+ employees while playing an active role across a wide range of HR functions. This is an excellent opportunity for someone with a couple of years of HR experience who is ready to take the next step in their career, expand their knowledge, and make a meaningful impact. We're looking for someone who is outgoing, detail-oriented, proactive, and brings a positive attitude to everything they do.
This position follows a hybrid work schedule, with much of the initial training taking place onsite, and will provide regular onsite support. Candidates must be local to the Chatsworth, CA area.
In this role, you will support all aspects of Human Resources, including recruiting, HR administration, leaves of absence, payroll, compliance and employee relations. You'll work closely with employees at all levels of the organization as well as outside vendors, making strong interpersonal and communication skills essential. Success in this role requires professionalism, integrity, confidentiality, and a collaborative, team-oriented approach. You'll have the opportunity to contribute new ideas, grow your HR expertise, and make the role your own. Experience with Paycor is highly desired.

WHAT YOUโLL BE DOING
- Contribute to the day-to-day operations and administrative functions of the HR Department
- Maintain employee records via the Companyโs Paycor HR system and onsite HR file room
- Support employee relations, including assisting with employee concerns, disciplinary processes, investigations, and other workplace matters under the guidance of the Sr. Manager of HR
- Full-cycle recruiting: work with managers, manage job posts, screen and contact candidates, manage the applicant tracking system (Paycor ATS), and background checks
- Coordinate the administration of leaves of absence and reasonable accommodations
- Provide backup payroll support by learning payroll processes and assisting the Payroll amp; Benefits Manager as needed
- Build relationships with management and rapport with employees
- Help facilitate the creation and presentation of training opportunities for all staff
- Conduct virtual or in-person onboarding meetings with new hires
- Develop and maintain knowledge of employment laws, Company policies and HR best practices
- Prepare reporting data as needed via Paycor
- Act as a company ambassador and promote the NNA as an employer of choice
- Support department-related projects and initiatives
- Participate in and assist with company-wide events and communications

THE KNOWLEDGE AND SKILLS YOU BRING
- High school diploma or equivalent required; degree preferred
- 2 yearsโ experience in a general HR support role
- Experience supporting one or more HR functions
- Experience, proficiency, and comfort in learning and maintaining HCM and ATS databases
- Must have a professional presence, excellent written and oral communication skills, and be comfortable conducting phone, video, and in-person interviews and meetings
- A sensitivity and confidentiality around the privacy of internal and external customers
THE ABILITIES YOU POSSESS
- Proficiency in Microsoft Office; excellent time and calendar management
- Experience with HCM systems, Paycor and Microsoft applications, including SharePoint, highly preferred
- Successfully organize, prioritize and manage your time, tasks, and calendar, while being responsive and able to deliver results and meet deadlines
- Ability to manage a high-volume pipeline of candidates at times
- Project an ability to listen and understand when working with employees at all levels
- Work with the utmost confidentiality, accountability, and integrity, recognizing the importance of your role
- Show empathy, emotional intelligence, and emotional control in day-to-day interactions

SALARY
- $27.00 - $30.00 per hour (apx. $56,000 - $62,000/year)
