Job Title

Medical Administrative Assistant

Job Description

The incumbent works in collaboration with the medical center's clinical and support staff, supervisor's, Clinical Coordinator, and providers. The incumbent collects, reviews, analyzes, and interprets data regarding clinical usage to measure the effectiveness and efficiency of providing care at a facility level. Will coordinate with local Referral Case Manager and other VA facilities PCMM Coordinators and Referral Case Managers and primary care providers, and is responsible for completion of assignment and maintaining the integrity of the Coordinator of PCMM position as outlined in VHA Directive 1406. Responsible for maintaining the PCMM database for all of primary care throughout the hospital service area. Major duties include, but are not limited to:

  • Collaborates and provides assistances and technical level support to the medical center staff and leadership.
  • Provide training, implementation, monitoring and evaluation of all procedures related to PCMM operations.
  • Serves as the medical center's PCMM authority, and provides guidance, advice, and technical support and troubleshooting to the MC's staff.
  • Enrolls and assigns patients to appropriate provider within PCMM systems in accordance with VHA Directive 1406 and VHA Directive 1101.10.
  • Collaborates, makes recommendations and decisions on appropriate interfacility patient transfers.
  • Reviews patient specific information to ensure appropriate assignment based on team/provider competency.
  • Monitors and trends the New Enrollee Appointment Request (NEAR) list.
  • Maintains accurate enrollment data through ongoing analysis and evaluation to identify and corrects discrepancies in the system wide database.
  • Performs work in support of the care and treatment given to patients.
  • Tracking and documentation of all administrative activities and requirements for the facility's Primary Care Management Module package.
  • Manages functions associated with the PCMM program for the facility.
  • Ensures maximum efficiency of the clinical operations through appropriate utilization of resources.
  • Identifies problem areas based on observation or discussion with clerks or health care officials/providers and initiates action to resolve problems.
  • Assists professional staff with handling administrative functions of the office.
  • Participates in patient education activities as is related to outpatient systems organization, clinic access, scheduling and logistical issues.
  • Extracts data and conducts data processing and analysis.
  • Performs work supporting the study of organizations, including work related to surveys conducted to assess organizational performance.
  • Obtains, organizes, and creates report of numerical data for use in preparing status reports, briefings and presentations.
  • Performs additional duties as assigned.

Work Schedule: 8:00 a.m. - 4:30 p.m.

Telework: This position is authorized Ad-hoc telework.
