Job description

Contractor will work in the D.C. office Tuesday - Thursday and WFH Monday and Friday.
This role involves supporting the Driver Safety Programs by managing events through Cvent, ensuring accurate data synchronization, and providing technical support. The Event Coordinator will oversee pre-event, live, and post-event activities, including participant management, reporting, and process improvements. They will also coordinate with volunteers and administrators, offer customer service, and support new or pilot programs when needed.
Pre-Event Support
• Consult with Driver Safety and Cvent Admins to structure events (RSVP, data capture, etc.).
• Conduct quality checks to ensure event accuracy and launch events.
• Communicate with staff and volunteers to meet event requirements and deadlines.
• Manage participant registrations (adding, editing, or canceling).
• Monitor the Volunteer Portal and Cvent to resolve sync issues.
• Coordinate with the Member Contact Center to assist with registration issues and develop event scripts.
• Build and launch complex events (multi-session, paid, branded, pilot, or national office-sponsored).
• Retrieve and send Cvent integration IDs to Marketing Services for participant data analysis.
Post-Event Support
• Upload participant data to Cvent and other systems, including walk-ins and host registrations.
• Coordinate the creation and sending of post-event emails (thank-you emails, surveys) within two weeks of the event.
• Generate reports based on event surveys and provide data to stakeholders.
• Compile and distribute registration and attendance reports.
• Assist with closing events and ensuring all necessary follow-up tasks are completed.
Cvent Technical Support
• Develop and maintain event templates to reduce manual processes.
• Create custom reports, configure barcode scanners, and troubleshoot web links.
• Support event duplication, backend pre-registration, and invitation list management.
• Generate and format reports for uploads and analysis.
Process Documentation and System Improvements
• Maintain process documentation for event management and other ADS protocols.
• Identify system inefficiencies and propose improvements to the ADS Director of Operations.
• Update Cvent templates to enhance efficiency and user experience.
• Support for New Programs and Pilot Initiatives
• Provide customer service for new programs or pilots through phone and email.
• Collaborate with the ADS Director of Operations to address potential staffing needs if SLAs are at risk.
Requirements:
Knowledge of Cvent is preferred but not required
Strong technology skills
3+ years' experience in technology/processing/creating virtual events
Able to provide customer support
High school diploma or higher
