The main difference lies in the work environment and the specific skills required for virtual versus in-person event management.

What Does a Virtual Event Planner Do?

As a virtual event planner, your duties focus on helping clients plan meetings, events, or celebrations. This is a remote position in which your responsibilities depend on the type of events you plan and the needs of each client. You provide an initial online consultation with clients to determine their needs and budget. You then design the party, wedding, meeting, or celebration, and coordinate with vendors to provide services. You also handle schedule planning. Some virtual event planners work online but go to the venue during the event, while others work solely online.

What are some common challenges Virtual Event Planners face when coordinating online events, and how can they be addressed?

Virtual Event Planners often encounter challenges such as technical difficulties, attendee engagement, and coordinating with remote teams. To address these, it’s important to have contingency plans for tech issues, ensure all platforms are tested in advance, and use interactive tools (like polls or breakout rooms) to boost engagement. Regular communication with clients, speakers, and vendors is crucial for smooth collaboration, and staying organized with project management software can help keep everyone aligned. Being proactive and adaptable is key to overcoming these challenges and delivering successful virtual events.

What are the key skills and qualifications needed to thrive as a Virtual Event Planner, and why are they important?

To thrive as a Virtual Event Planner, you need strong organizational skills, attention to detail, and experience in event coordination, often supported by a background in hospitality, marketing, or communications. Familiarity with virtual event platforms (such as Zoom, Hopin, or Webex), project management tools, and certification in event planning (like CMP or CSEP) is highly valuable. Excellent communication, problem-solving abilities, and adaptability help you manage client needs and troubleshoot issues in real time. These skills ensure seamless event execution, high attendee engagement, and client satisfaction in a dynamic virtual environment.

How much do virtual event planners make?

Virtual event planners typically earn between $40,000 and $70,000 annually, depending on experience, location, and the complexity of events managed. Experienced planners with certifications and strong technical skills can earn higher salaries, especially when working for larger organizations or as freelancers. Compensation may also include bonuses or project-based fees for specific events.

What do virtual event planners do?

Virtual event planners organize and coordinate online events such as conferences, webinars, and meetings. They handle tasks like selecting platforms, managing schedules, coordinating speakers, and ensuring technical aspects run smoothly using tools like Zoom or Microsoft Teams.

Earning certifications such as Certified Meeting Professional (CMP) can enhance credibility, and building a strong portfolio helps attract clients or employers.

Can you be a remote event planner?

Yes, virtual event planners can work remotely, organizing and coordinating events from any location using online communication tools and event management software. Many employers and clients prefer remote arrangements for flexibility, and the role often requires strong organizational skills and familiarity with virtual platforms. Envision yourself at Barracuda
The Barracuda Marketing team is looking for an Event Specialist. Are you detail-oriented, with a bias toward action and a passion for process? Do you have a passion for bringing brands to life through events? The individual in this role is responsible for the coordination and management of Barracuda’s participation in a variety of hosted and channel industry events globally. The ideal candidate is a motivated self-starter who excels at juggling multiple priorities, solving problems on the fly, and collaborating as a reliable and enthusiastic team player.
What you’ll be working on
  • Assist in managing our global events calendar, budget and help project manage all associated plans and details related to our events.
  • Help identify and evaluate new opportunities for industry engagement through trade shows, conferences, community events, and strategic partnerships.
  • Assist in the coordination of our participation in tradeshows globally and other industry events, virtual and in-person company-hosted events.
  • Contribute creative and cost-effective recommendations to amplify our brand at events and drive meaningful engagement with key audiences.
  • Work cross functionally with partner marketing teams to ensure leads make their way to the appropriate teams for prompt follow-up.
  • Liaise with global marketing teams ensuring clear understanding of event deliverables and logistics needed.
  • Travel as needed and attend in-person events in the US and Canada, supporting successful execution of events carried out by colleagues, ensuring pre-, during-, and post-event expectations are met and operations run smoothly.
  • Manage event operations end-to-end: booth selection, staff scheduling, shipment tracking, swag orders, and vendor coordination. The Events Specialist is the go-to person for all things tradeshow.
  • Work with our Brand Team to ensure messaging displayed at events aligns with brand-approved messaging.

  • Provide monitoring and analysis on events performance with an eye toward continuous optimization.

What you bring to the role
                  • 3+ years of B2B event planning experience (or equivalent demonstrated experience). Experience in the Channel is a nice to have.
                  • Experience with virtual events, livestreams, webinars, simulive experiences, and other online event formats.
                  • A strong understanding of and commitment to creating branded experiences, not just logistical support.
                  • A bias toward action – comfortable juggling multiple priorities and tight timelines in a fast-paced setting.
                  • Quick learner with a proactive mindset and the ability to work independently while staying collaborative.
                  • Demonstrated experience working cross-functionally with marketing, sales, and external vendors.
                  • Detail-oriented problem-solver with a “can do” attitude.
                  • Friendly, enthusiastic, and professional with team members, management, and clients.
                  • Knowledge of Salesforce, Marketo, registration and webinar platforms (Zoom preferred).
                  • Willingness to travel for in-person event support (approx. up to 40%).

                                      What you’ll get from us
A team where you can voice your opinion, make an impact, and where you and your experience are valued. Internal mobility – there are many opportunities for cross training and the ability to define your next career step within Barracuda. We support employees who want to explore other areas of interest.
