Event Planner - Senior
The Event Planner is responsible for the strategic planning, coordination, and execution of fundraising, donor engagement, stewardship, and community events that advance the mission of Bronson Health Foundation. This role manages events from concept through completion, ensuring each experience reflects the Foundation's brand, strengthens donor relationships, and supports philanthropic growth.
Working closely with Foundation leadership, volunteers, donors, vendors, clinicians, and community partners, the Event Planner serves as a key operational and relationship-building partner who helps translate philanthropy into meaningful experiences that inspire generosity and deepen community engagement.
This role requires a highly organized, customer-focused professional who can successfully manage multiple priorities, maintain exceptional attention to detail, and execute events with professionalism, creativity, and operational excellence.
Essential Responsibilities
Event Strategy & Planning
  • Plan, coordinate, and execute Foundation fundraising events, donor stewardship events, campaign activities, community engagement functions, and internal recognition gatherings.
  • Develop event timelines, project plans, budgets, production schedules, and operational workflows.
  • Collaborate with Foundation leadership to align events with fundraising goals, donor engagement strategies, and organizational priorities.
  • Recommend creative event concepts and engagement opportunities that elevate the donor and guest experience.

Event Execution & Operations
  • Oversee all logistical aspects of events including venue coordination, catering, audiovisual services, transportation, décor, signage, registration, and on-site operations.
  • Coordinate event setup, execution, troubleshooting, and breakdown activities.
  • Ensure events are delivered professionally, on budget, on schedule, and in compliance with organizational standards.
  • Maintain contingency plans and proactively address operational challenges.

Donor & Stakeholder Engagement
  • Partner with philanthropy staff to support donor cultivation and stewardship activities connected to events.
  • Work with the corporate giving team to secure sponsorship and enhance a positive ROI on the 4 major events of the year
  • Provide exceptional customer service to donors, sponsors, volunteers, physicians, executives, and community partners.
  • Support sponsorship fulfillment and recognition activities.
  • Coordinate guest communications, invitations, RSVPs, seating arrangements, and event materials.

Vendor & Volunteer Coordination
  • Manage relationships with external vendors, venues, contractors, and service providers.
  • Negotiate contracts and oversee vendor performance while ensuring fiscal responsibility.
  • Coordinate volunteers and event committees as assigned.
  • Ensure vendors and event partners meet Bronson standards related to professionalism, safety, and service delivery.

Budget & Financial Management
  • Assist with development and management of event budgets.
  • Track expenses, invoices, sponsorship revenue, and financial reconciliation activities.
  • Identify opportunities for cost containment and operational efficiency while maintaining quality.

Communications & Collaboration
  • Work collaboratively with marketing and communications teams to support event promotion, branding, and messaging.
  • Assist in development of event collateral, presentations, scripts, and promotional materials.
  • Support post-event reporting, analytics, donor follow-up, and evaluation efforts.
  • Maintain accurate records within donor and event management systems.

Compliance & Risk Management
  • Ensure event operations comply with organizational policies, safety standards, and applicable regulations.
  • Support risk mitigation planning for events, including vendor compliance and incident response coordination.
  • Exercise professionalism and sound judgment in all interactions and event-related activities.

Qualifications
Education
  • Bachelor's degree in Event Management, Hospitality, Communications, Marketing, Public Relations, Business Administration, or related field preferred.
  • Equivalent combination of education and relevant experience may be considered.

Experience
  • Minimum of 3-5 years of progressively responsible event planning or hospitality experience preferred.
  • Experience coordinating fundraising, nonprofit, healthcare, corporate, or donor-related events strongly preferred.
  • Experience managing multiple projects simultaneously in a fast-paced environment.
