Clackamas County Department of Transportation & Development (DTD) is seeking a motivated, detail-oriented, and collaborative individual to join our Transportation Maintenance team as a Data Control Analyst. If selected for this position, you will play a key role in ensuring the accuracy, consistency, and reliability of Transportation Maintenance's asset management and time-entry data. In this role, you will oversee quality control of data entered into our asset management systems, support database management and process refinement, and provide training and guidance to staff who use these tools.
You will run regular reports, perform quality checks, and implement corrections to maintain complete and accurate data for both asset management and employee time entry. You will also reconcile and process employee time across multiple systems, ensuring information is correct and ready for payroll.
In addition, you will serve as the records management representative for Transportation Maintenance, helping maintain and digitize road and bridge files within DTD's SharePoint site and ensuring compliance with retention schedules.
This role gives you the opportunity to strengthen data integrity, improve workflows, and support the daily operations that keep our transportation system running smoothly.
Required Minimum Qualifications/Transferrable Skills:*
  • A minimum of one (1) year of experience performing data entry and data quality review in a computerized system or database
  • A minimum of one (1) year of experience working with digital records or file management systems, such as SharePoint or similar platforms
  • A minimum of one (1) year of experience generating, reviewing, or reconciling reports or datasets to identify and correct errors
  • A minimum of one (1) year of experience providing administrative support in an office or operational environment, including responding to inquiries by phone or email
Preferred Qualifications/Transferrable Skills:*
  • Experience using asset management systems to enter, track, or analyze operational data
  • Experience processing or reconciling employee time or payroll data in systems and/or cost accounting systems
  • Experience developing or refining data workflows, quality control checks, or process improvements within a technical or operational environment
  • Experience performing records management tasks, including digitizing files, applying retention schedules, or maintaining SharePoint sites or similar document repositories

TYPICAL TASKS
Duties may include, but are not limited to the following:
  • Perform daily quality control checks in OpenGov EAM ( Cartegraph ) by running reports, reviewing employee time and resource entries, verifying task and code compatibility, and correcting discrepancies to ensure accurate processing.
  • Support database management and process refinement to improve user experience, strengthen quality control checks, and promote consistent use of OpenGov EAM ( Cartegraph ) across the team.
  • Assist with payroll processing by reconciling and cleaning up pay-period data to ensure accurate time and resource entry, utilizing OpenGov EAM ( Cartegraph ) , JobCost, and WorkForce.
  • Serve as the records management representative for Transportation Maintenance, maintaining road and bridge files in DTD's SharePoint site, digitizing historical documents, and ensuring compliance with retention schedules.
  • Provide front-desk backup support, including greeting vendors and visitors, responding to road concerns via phone and email, and entering road concerns into OpenGov EAM ( Cartegraph ) for supervisor follow-up.
  • Perform internal administrative and data tasks, such as managing leave requests and calendars, and preparing daily assignment emails.
  • Carry out additional technical and administrative duties as needed, including assisting with programs, proofreading, pulling reports, and compiling documents for presentations.

WORK SCHEDULE
This position works 40 hours during a standard workweek with one of the following schedules:
  • Monday through Thursday, working 10 hours per day (Friday off)
  • Monday through Friday, working 8 hours per day (5/8)

Please note:
  • This position may require evening and/or weekend overtime hours.
