What is virtual accounting?

Virtual accounting is a service where professional accountants handle financial tasks remotely, often using cloud-based software and secure internet connections. Instead of working onsite, virtual accountants manage bookkeeping, payroll, tax preparation, and other accounting needs from a distance. This approach allows businesses to access expert financial support without maintaining an in-house accounting department, offering flexibility and cost savings. Virtual accounting can be especially beneficial for small businesses or startups looking to streamline their operations.

What is the difference between Virtual Accounting vs Bookkeeping?

AspectVirtual AccountingBookkeeping
CredentialsAccounting degree or CPA often preferredBasic bookkeeping certifications or none
Work EnvironmentRemote, often integrated with accounting softwareRemote or on-site, using basic accounting tools
Job ResponsibilitiesFinancial analysis, reporting, tax prepData entry, transaction recording
Industry UsageUsed by businesses needing comprehensive financial managementUsed for day-to-day transaction recording

Virtual Accounting involves managing complex financial tasks like analysis and reporting, often requiring advanced credentials. Bookkeeping focuses on recording transactions and maintaining financial records. While both roles can be remote, virtual accountants typically handle broader financial responsibilities, making them suitable for businesses seeking detailed financial insights.

How does a virtual accountant typically collaborate with clients and team members remotely?

Virtual accountants primarily use cloud-based accounting software, secure file-sharing platforms, and video conferencing tools to communicate with clients and colleagues. Regular check-ins, scheduled meetings, and real-time updates help maintain transparency and streamline workflow. Effective remote collaboration requires clear communication, prompt responsiveness, and a proactive approach to managing tasks and deadlines, ensuring all parties stay aligned despite not sharing a physical office.

What are the key skills and qualifications needed to thrive as a Virtual Accountant, and why are they important?

To thrive as a Virtual Accountant, you need a solid understanding of accounting principles, financial reporting, and bookkeeping, typically supported by a degree in accounting or finance. Familiarity with cloud-based accounting software like QuickBooks Online or Xero, and relevant certifications (such as CPA or CMA), are often required. Excellent time management, attention to detail, and strong communication skills help build client trust and ensure accuracy in remote work environments. These capabilities are crucial for delivering reliable financial services and maintaining client satisfaction in a virtual setting.

*** This is a temporary position ***

Duration: 6 months

Position Summary:

The Garnishment Support Specialist - Agency Relations (GSS AR) is responsible for owning and executing agency-related garnishment audits with a focus on Deduct & Hold (D&H) and stale-dated check processes. This role works in partnership with Garnishment Specialists (GS), Legal, Accounting, and external agencies to ensure the accuracy, completeness, and timely resolution of garnishment audits. The GSS AR plays a critical role in audit remediation, interdepartmental coordination, and maintaining compliance and customer transparency.

This position will initially be used to support backlog reduction efforts as part of a temporary staffing solution. The scope may adjust based on the volume and cadence of future audits.

Key Responsibilities:

Audit Management & Ownership

  • Conduct customer-related audits on an ongoing basis; maintain audit completion through regular weekly reviews once current.

  • Own and complete all processes related to assigned D&H and stale-dated check audits.

  • Retain case ownership end-to-end while collaborating with GS team members for customer/order-specific insights as needed.

  • Provide timely updates on audit outcomes to Garnishment Specialists and leadership.

Deduct & Hold (D&H) Audits

  • Maintain audit case tracking, including documentation of progress and final outcomes.

  • Engage Garnishment Specialists for historical or contextual information when necessary.

  • Coordinate with the Garn Ops Leader for accounting-related communications and to support OSV's annual audit through reconciliation and reporting.

  • Upon receiving a customer offboarding notification, work with GS to obtain an active withholding order report from Workday to identify outstanding D&H orders.

Stale-Dated Check Audit

  • Create internal cases for each customer audit to document audit actions and resolution steps.

  • Convert internal case notes into customer-facing documentation once resolution is complete.

  • Determine the order status in Workday to confirm if the garnishment order remains active.

  • Contact agencies to confirm whether funds are still owed or have been received.

  • Initiate requests for reissuance or refund of stale checks via OSVS cases, as appropriate.

  • Respond to customer inquiries regarding stale-dated check audits with professionalism and accuracy.

Qualifications:

  • Experience in garnishment operations or payroll services is strongly preferred.

  • Ability to manage audits with a high level of detail and organizational accuracy.

  • Strong written and verbal communication skills for both internal and external interactions.

  • Comfortable collaborating cross-functionally with Operations, Accounting, and customer support teams.

  • Proficient in internal systems such as Workday and Salesforce or similar platforms.

Preferred Skills:

  • Strong analytical skills and the ability to reconcile complex data sets.

  • Proactive mindset with the ability to independently drive tasks to completion.

  • Understanding of regulatory compliance within garnishment or payroll processing.
