The Production Associate will assist with the coordination and operational needs of our Event Production Services department.

WHAT YOU WILL DO
The Production Associate will assist with the coordination and operational needs of our Event Production Services department. This key role is responsible for:
  • Collaborating with all departments within AVI-SPL and the Event Production Service team to ensure a high level of service delivery to clients
  • Assist with the organization, assignment, and scheduling of projects as well as administrative needs, onboarding, billing, and reporting tasks

Occasional travel and after-hours work will be required.
DAY TO DAY RESPONSIBILITIES
  • Ensure proper billing of all work orders, facilitate invoices, ensure tracking and accuracy, and post to Accounting or third party platforms for processing.
  • Support cost allocation efforts by gathering and organizing project-related financial data to ensure expenses are accurately coded and aligned with client accounts
  • Ensure all account data is captured to allow for the development of reporting on Service Level Agreements and other data driven metrics to provide forecasts and recommendations to management and clients.
  • Assist with creating utilization reports, production trackers and studio usage reports to identify account trends, provide information on productivity improvements, and illustrate how to operate service efficiently.
  • Hire and coordinate freelance, remote support, or makeup artists as needed. Assist with the development of freelance pools and onboarding for backfill and supplemental support.
  • Opportunity to achieve certification in broad range of production positions
  • Support maintenance checks on event facilities as assigned including the development of operating procedures, workflow processes, booking forms, and facility checklists.
  • Take booking requests and assign proper staff.
  • Meet and greet clients and guests and prepare studio and event needs to meet production scope.
  • Provide general office and facility support including but not limited to restocking client services, general facility upkeep, maintain inventory, etc.
  • Confidently troubleshoot problems that arise with studios and transmission
  • Understand fiber, satellite, IP transmission, and virtual capabilities and limits to/from properties and facilities.
  • Complete basic engineering training of remote camera systems.
  • Opportunity to assist with build and installations as requested.

WHAT WE'RE LOOKING FOR
Must-have skills & job qualifications:
  • 3+ years of experience in video production management, or similar field including audio/video events and studio operations
  • Experience in event coordination including database and scheduling management
  • Experience in project management including coordinating logistics with multiple entities, vendors or departments
  • Ability to communicate challenging aspects of a production to clients while maintaining a high level of confidence and leadership.
  • Proficient working with spreadsheets, documents, and presentation tools, and experience with providing reporting and forecasts
  • Experience in the area of production, broadcast, events, or similar field
  • Strong client communication and organizational skills
  • Track record of being organized, detail-oriented, flexible, and working well in a team atmosphere as well as having the capability to work well individually, is essential
  • Strong work ethic, self-direction, self-motivation, patience, persistence and the ability to get along with coworkers and customers
  • Mature judgment to make sound decisions based on objective evidence, customer and AVI-SPL needs, and cost considerations
  • Excellent oral and written communication skills, including necessary paper and/or computer documentation
  • Work performance and cooperation that serves as a role model for all. Ability to maintain a positive attitude, even under stress
  • Superb customer service skills
  • Responsible and reliable

  • Experience with live studio and event production workflows and roles, including planning and coordination, day of operations and engineering maintenance

  • Travel is required based on requirements and location of productions and service needs
