Executive Aide – Office of the President, Case Western Reserve University

Location: onsite in Cleveland, OH

About the Role

Are you an exceptional administrative professional who thrives in a fast-paced, high-visibility environment? Case Western Reserve University is seeking a sharp, proactive, and polished Executive Aide to join the core operational team in the Office of the President.

In this vital role, you will serve as the primary administrative engine and office liaison supporting key executive leaders, including the Senior Vice President & Chief of Staff, the Associate Vice President for Government Relations, and the Associate Vice President for Local Government and Community Relations. From managing complex C-suite schedules and high-level government official visits to overseeing department budgets and navigating multi-million-dollar institutional priorities, your work will directly drive the mission and strategic momentum of the university.

Key Responsibilities

  • Executive Logistics & Calendar Management (25%): Proactively manage dynamic executive schedules, organize complex internal/external meetings, and design seamless domestic and international travel itineraries.
  • High-Level Problem Solving & Triage (20%): Serve as an independent problem-solver across campus. Investigate sensitive matters, interpret university policies, and keep executive priorities moving forward seamlessly.
  • VIP & Government Relations Operations (10%): Plan and execute flawless campus visits for high-ranking government officials, legislative leaders, and corporate executives to showcase CWRU’s strengths in research and civic engagement.
  • Financial Administration & Budget Management (10%): Manage and monitor budget records for the Office of Government Relations, authorize expenditures, reconcile accounts in PeopleSoft, and oversee contractor proposals.
  • Confidentiality & Stakeholder Engagement (20%): Handle high volumes of sensitive university information with absolute discretion. Serve as a key liaison to the Provost, Deans, Board of Trustees, donors, civic leaders, and elected officials.
  • Core Office Administration (15%): Support day-to-day office operations, including communications, correspondence, documentation, and general administrative flow.

What You Bring to the Table

  • Experience/Education: High school education with 12 years of related experience OR Associate's degree with 10 years of related experience OR Bachelor's degree with 8 years of related experience required. Experience at a university or non-profit executive office is preferred.
  • Key Strengths:
    • Exceptional written and verbal communication skills.
    • Uncompromising discretion, diplomacy, and sound judgment when handling sensitive, confidential matters.
    • Outstanding project management and multi-tasking abilities with intense attention to detail.
    • Strong technical proficiency in Google Workspace, Microsoft Office Suite, and enterprise financial tools (experience with PeopleSoft is a major plus!).
