The Atmospheric and Oceanic Sciences Department at CU Boulder invites applications for an Undergraduate Program Professional! This position supports the department's undergraduate academic program by coordinating daily operations and providing guidance to students, faculty, and staff. This position applies knowledge of academic administration and university systems to manage program logistics, assist with undergraduate advising processes, and ensure curriculum and policy requirements are met. The role regularly solves moderately complex program and student issues, determining appropriate actions within established guidelines and referring unique cases for further review when needed.
In addition, this position collaborates with faculty and departmental staff to organize activities and events, support applied learning or research opportunities, and contribute to efforts that enhance student engagement and retention.
The Undergraduate Program Professional may provide direction to student employees or staff assisting with program tasks, ensuring consistency and accuracy in undergraduate program support.
The Department of Atmospheric and Oceanic Sciences (ATOC) provides a world-class, interdisciplinary research and educational environment to examine the dynamical, physical, and chemical processes that occur in the atmosphere and ocean. A major theme is the establishment of a physical basis for observing, modeling, and understanding climate and global change.

Undergraduate Program Management and Administration:
- Coordinates the day-to-day operations of the undergraduate program, supporting the Chair, Associate Chair, Director of Undergraduate Education, and academic advisors with program logistics and routine planning needs.
- Assists the Associate Chair in preparing the department's course schedule by gathering teaching requests, reviewing enrollment patterns, and providing data to support scheduling decisions.
- Processes curriculum updates in coordination with Associate Chairs, advisors, curriculum committees, the College of Arts & Sciences, and the Registrar's Office to ensure changes follow policy and are accurately reflected in the course catalog.
- Maintains program procedures and resources, applying knowledge of university systems to resolve routine and moderately complex issues in program administration.
- Collects and compiles data for departmental reporting and institutional surveys, providing summaries that inform leadership on enrollment, student progress, and program activities.
- Organizes and manages program records, ensuring compliance with university retention requirements and maintaining accessible, accurate files for departmental use.
- Provides guidance and assistance to faculty, staff, and student employees on undergraduate program processes, serving as a point of contact for routine program questions.
- Works with the Graduate Program Professional and departmental staff to coordinate processes that overlap across undergraduate and graduate programs, contributing to consistency and efficiency.
- Supports departmental efforts to deliver undergraduate program services that promote student success and align with the department's educational mission.
Undergraduate Research Program Operations and Mentoring:
- Coordinates opportunities for undergraduate students to engage in faculty-led or curriculum-based research or applied experiences by maintaining information on available research and assisting with placement logistics.
- Coordinates undergraduate student appointments for research and teaching.
- Coordinates undergraduate student fellowships, including communications with students, participating in required training, processing financial aid, and assisting with the selection process.
- Supports the Director for Undergraduate Education in student mentoring and learning assessment, including email communications, scheduling meetings, providing guidance on course and graduation requirements, meeting with students, and conducting annual questionnaires.
- Organizes events that highlight undergraduate research and applied learning, including poster sessions or informational workshops, handling scheduling, logistics and communication with participants.
- Collects and organizes data on student research participation, prepares summaries for departmental use, and contributes information for annual reports or program reviews.
- May provide assistance with undergraduate student career development events and courses and external advisory board events focusing on student success.
Curriculum/Course Scheduling Management and Support:
- Coordinates the day-to-day administration of the undergraduate academic program, including gathering enrollment information, preparing course schedules, and supporting the Associate Chair in planning for changes in student demand.
- Reviews enrollment data to identify scheduling needs, such as courses with higher or lower demand, and suggests reasonable adjustments that support students, faculty, and available classroom space.
- Enters and updates department courses, recitations, and laboratories in CU-SIS each semester, ensuring accuracy and compliance with university procedures, and works with others to resolve basic scheduling issues.
- Serves as a departmental contact for student registration and enrollment, providing guidance to students, instructors, and advisors during registration and adjustment periods, and resolving routine enrollment questions.
- Manages prerequisite checks, grade submissions, and special enrollment requests, referring unique or complex cases to the Associate Chair or senior staff as appropriate.
- Compiles and organizes departmental data on enrollment and student progress, preparing reports that assist leadership in planning and program assessment.
- Coordinates logistics for exam accommodations and disability-related support for undergraduate courses, collaborating with staff and campus partners to ensure accessibility needs are met.
Event Planning and Operational Support:
Operational Support:
- Maintains the department's digital presence by updating websites, event calendars, and online content to ensure accuracy, accessibility, and timely communication of departmental information.
- Coordinates communications and outreach tasks.
- Tracks departmental equipment and assets, assisting with ordering, record-keeping, and disposal in accordance with university policy.
- Helps manage space and resource allocation for undergraduate events.
- Provides general support to departmental leadership by gathering information and assisting with improvements to communication and engagement activities.
Event Planning/Management:
- Coordinates logistics for departmental events and committees that support student engagement, including welcome events, social events throughout the year, and student organizations.
- Assists with planning and execution of departmental events such as poster session, and recognition ceremonies by reserving space, preparing materials, and communicating with participants.
- Works with faculty and staff to recruit volunteers and ensure resources are in place for departmental events and student programs.
- Supports cross-unit events by gathering student and award information and assisting with event logistics.
- Supports and participates in undergraduate student recruitment events organized by the department or university.
- Coordinates venues, prepares event materials, and communicates with vendors and campus partners to ensure events run smoothly.
Other/Projects:
- Other duties as assigned that support the success and operations of the department's undergraduate program and its research.
- Hybrid Schedule: At least 4 days a week on campus based on the business needs of the department.
- Standard Business Hours: 8:00 AM - 5:00 PM | Monday - Friday
- Employee may be expected to be on campus Monday-Friday during onboarding, training, and/or professional development events/meetings.
The annual salary range for this full-time position is $55,100-$57,000.
