That moment almost never announces itself in advance.

It lives in the gap between teams. In the thing no one confirmed. In the assumption that someone else caught it.

The Event Manager at Encore is the person who closes that gap, every time, before the client ever knows it was there.

We're looking for an event professional who owns outcomes, not just tasks.


The Role

The Event Manager carries full accountability for every event in their portfolio, from first conversation through final invoice. That means hotel coordination, attendee logistics, group air collaboration, platform configuration, reporting, and on-site readiness. All of it.

This role sits at the centre of a cross-functional operation. The Event Manager coordinates directly with Group Air, Customer Success, Finance, Commercial, and Operations, and serves as the primary client contact for travel and logistics on every assigned program. The scope is real and the authority matches it.

This is not a support role. It is not a coordination function. It is ownership, with everything that comes with that word.


What You'll Do

Own the event from first call to final reconciliation.

Every active program gets a detailed project plan. Every milestone, deliverable, and client communication is tracked and current. You lead venue sourcing for assigned events and collaborate with the Venue Sourcing Specialist when RFP complexity calls for it. You provide Group Air with complete event and traveler details, and you stay in it through every handoff.

Carry the client relationship, not just the file.

You are the face of Encore for every client whose events you manage. The quality of that relationship is yours to build and protect. Clients return because the person responsible for their program knows their program and takes care of it. That expectation is not periodic. It is constant.

Anticipate, not just respond.

Issues surface at events because someone somewhere missed a signal. The Event Manager reads those signals early, resolves risk before it reaches the client, and drives accountability across every stakeholder. When something falls through a gap, you catch it and close it.

Set the technology up right, then own what comes out of it.

You define registration requirements, approval workflows, attendee communications, and reporting configuration. You partner with Customer Success to execute against those requirements on time and to spec. You conduct UAT, provide go-live sign-off, and take accountability for what the platform produces.

Keep the financial picture clean and current.

Zoho CRM reflects the real status of every file, not where things stood last week. Sales Orders and Purchase Orders are created on schedule. Reconciliation with Finance happens within five business days of event close. For clients not on the platform, you build and deliver reports directly: flight manifests, registration summaries, post-event reconciliations.

Represent Encore with the professionalism the client came for.

Every supplier interaction, every internal escalation, every client touchpoint is a reflection of Encore's reputation. You manage straightforward supplier relationships directly using Encore's tools and preferred contacts. For complex negotiations or contract terms, you bring in the Venue Sourcing Specialist. Either way, the standard doesn't move.


Required

  • 3+ years of experience in event coordination, group travel management, or operations
  • Demonstrated ability to own a client relationship end-to-end, not just execute assigned tasks
  • Strong working knowledge of hotel contracting, rooming list management, and air logistics
  • Exceptional organizational capacity with the ability to carry multiple active events without losing accuracy or momentum
  • CRM discipline: you log activity, create records on schedule, and treat the system as the source of truth
  • Communication that is clear, confident, and client-ready at all times


An Asset to have

  • Experience in a corporate travel or event management environment, ideally in financial services
  • Familiarity with online booking tools, event registration platforms, and reporting tools
  • Experience collaborating with technology configuration or implementation teams
  • Knowledge of air booking workflows, fare rules, and group air processes
  • Proficiency in Zoho CRM or comparable project management and CRM platforms
  • Bilingual proficiency in English and French
