Job description

Location: Clearwater, FL area onlyAbout the Role

We are seeking an Event Planner to support the planning and execution of corporate events primarily based in Clearwater/Tampa, FL. This role is handson and executionfocused, with a strong emphasis on food & beverage, decor, and onsite event delivery. Most events take place inoffice or within the Tampa area, with some regional travel and occasional travel to Greenville.

This role is best suited for someone who is truly passionate about event planning, enjoys being onsite, and takes pride in creating polished, wellrun experiences-from internal meetings to customerfacing events and hosted happy hours.

What You'll Do

  • Plan and execute a variety of corporate events, primarily based in Clearwater, Tampa, and surrounding areas

  • Partner with event stakeholders to gather requirements, develop event plans, and create detailed budgets and proposals

  • Manage key logistics for events, with a heavy focus on food & beverage, decor, room setup, and overall guest experience

  • Research, recommend, and manage venues, catering partners, decor vendors, and other event suppliers

  • Negotiate vendor contracts and manage costs to ensure budget alignment

  • Own full budget accountability, including projections, tracking during planning, and postevent reconciliation

  • Develop event agendas and timelines; coordinate audiovisual services and thirdparty production partners as needed

  • Coordinate event communications, including invitations and registration

  • Provide onsite event support, including earlymorning setup and afterhours execution when required

  • Support recurring happy hours and evening events (approximately once per month)

  • Utilize event tracking tools and databases to manage event workflows and reporting

  • Collaborate closely with the broader Events team to share best practices and support coverage as needed

  • Complete additional eventrelated duties as assigned

What We're Looking For
  • 2-4 years of handson event planning experience, preferably in a corporate or hospitality environment

  • Demonstrated experience managing food & beverage and decor, with strong attention to guest experience and presentation

  • Comfortable being onsite for events, including setup, execution, and breakdown

  • Strong organizational and timemanagement skills with the ability to manage multiple events at once

  • Experience managing event budgets, including projections and reconciliations

  • Ability to work independently while collaborating effectively with stakeholders and vendors

  • Strong vendormanagement and negotiation skills

  • Ability to work early mornings (often 7:30am starts) on occasion to support events beginning at 9:00am

  • Flexibility to work occasional evenings and nonstandard hours as required for events (rotated fairly across the team)

  • Ability to lift and move up to 20 lbs and be on your feet for extended periods during event days

  • Clear communicator with strong attention to detail

  • Genuine passion for event planning and delivering highquality experiences

Technical & Functional Skills

  • Proficiency in Microsoft Office Suite, with strong working knowledge of Excel and PowerPoint

  • Experience using Cvent, Marketo, or other event registration and virtual event platforms

  • Knowledge of the IT channel is a plus

Education

  • Education preferred in Hospitality, Marketing, Communications, or related field; equivalent experience considered

Travel Requirements

  • Ability to travel up to approximately 25% to support regional events and business needs. Travel is primarily within Florida, with occasional travel elsewhere.

  • Candidates must maintain a valid driver's license and reliable transportation for local travel within the Tampa area.

  • A Real ID-compliant driver's license and valid passport are preferred.

Working Conditions

  • Location: Clearwater, FL - must be within driving distance

  • Hybrid work arrangement / Inoffice expectation: Tuesday, Wednesday, and Thursday when not traveling

  • Travel: Approximately 25%, primarily regional within Florida

  • Some early mornings and afterhours events required based on event schedules
