Overall Purpose: Why the Job Exists & What You Will Do:

As the Transportation Coordinator, you will accurately handle the freight processes/information for domestic (some international) shipments utilizing internal drivers and external vendors to move product to (internal/external) customers, ensuring on time delivery.

Essential Job Functions & Expected Outcomes: Your Accountabilities in the Role

A.ย ย ย  Freight/Shipping Coordination & Scheduling: 100% of the Job

1.ย ย ย ย  Coordinates and schedules the inbound and outbound loads/shipments, transfer of raw materials and finish goods between divisions, business units or plants using internal drivers and external vendors, ensuring on time delivery.

2.ย ย ย ย  Maintains, reviews and approves the bill of ladings and other documents for the freight area, along with the cost of shipments, to ensure accuracy.

3.ย ย ย ย  Prepares, reviews and maintains accurate records, DOT government filings, and other data as it relates to the position, to ensure quality record retention and DOT compliance.

4.ย ย ย ย  Maintains and accurately updates the past due freight billing tracking system and provides periodic reports to the management team to ensure communication of past due items as well as timely payments.

5.ย ย ย ย  Assists in the Reception area, acting as a backup to the Receptionist for the main CTB switchboard a portion of time weekly to ensure the area has full coverage as needed.

6.ย ย ย ย  Assists customers and the Customer Service department with freight quoting to ensure accurate and cost-effective freight options for customers.

The job criteria may include other duties, responsibilities and activities, which may change or be assigned at any item with or without notice.

Position Requirements:

A.ย ย ย  Education: High School Diploma or GED preferred, or equivalent course work and direct work experience accepted.

B.ย ย ย  Experience: 2+ years of clerical and shipping experience, with knowledge of LTL trucking system processes would be helpful; would train the right person.

C.ย ย ย  Certification: N/A

D.ย ย ย  Functional Skills: High attention to detail and accuracy, good math skills with a strong sense of urgency required; strong ability to multi-task several projects at one time, problem-solve, prioritize, organize and complete work on time.

E.ย ย ย  Technical Aptitude/PC/Other: Intermediate skills in Microsoft Office required

F.ย ย ย  Language Skills: Excellent communication skills (written and verbal) to work with external vendors and internal partners at all various levels.

G.ย ย ย  Leadership/Behaviors: Able to work in a team-environment with collaboration to ensure accountabilities for the group are met. Ability to train and mentor others will be helpful for this role. This role requires someone who is flexible and can work well under pressure to meet the work demands and timelines as needed.
