Job description

Job Summary:

Responsible for departmental employee attendance tracking, document translation, material requisition, data organization, and communication and coordination with other departments. Handle incoming and outgoing documents and reports for the management team, schedule meetings, prepare meeting minutes, and handle daily administrative tasks.

Main Duties & Responsibilities:

  • Provide on-site Chinese-English oral interpretation to ensure communication accuracy and fluency.
  • Assist with new employee onboarding and training, register company asset usage, assist with dormitory allocation and adjustments, and manage other general administrative tasks.
  • Coordinate and schedule interviews, conduct initial screening and evaluation of candidate resumes, and track and provide feedback on recruitment progress.
  • Administer daily attendance for all employees in the management department, and systematically process all types of leave matters including annual leave, sick leave, personal leave, and family visit leave.
  • Assist the manager in handling departmental emergencies and unexpected incidents, such as employee injuries, disputes, and major workshop abnormalities.
  • Maintain confidentiality, comply with the company's confidentiality policy, and properly safeguard confidential materials such as seals and official documents.
  • Perform daily translation and basic proofreading of documents and emails; complete the collection, classification, archiving, and standardized organization of documents to ensure information is orderly and traceable.
  • Process, submit, organize, and follow up on expense reimbursements within the department.
  • Manage the full process of meetings, including logistics preparation, meeting minute writing, and post-meeting follow-up actions.
  • Be responsible for the requisition, issuance, registration, distribution, inventory, and recycling of departmental office supplies and production line materials.
  • Coordinate between departments, facilitate inter-departmental communication, relay information, and collaborate with other administrative staff.
  • Maintain the departmental office area, keep public spaces clean and tidy, and assist with cleaning tasks.
  • Perform other tasks assigned by management.

Requirements:

Education Background:

  • Bachelorโ€™s degree or above. Preferred majors include Secretarial Science, Public Administration, Human Resources Management, Business Administration, or other related fields.

Experience:

  • Able to communicate fluently in both Chinese and English and translate documents between the two languages.
  • 1-3 years of experience in administrative or clerical roles, familiar with office workflows.
  • Proficient in using Office/WPS and other office suites, and able to independently operate and maintain office equipment such as printers and projectors to ensure smooth daily office operations.
  • Received systematic training in safety production management; willing to wear cleanroom suits, masks, and gloves when entering/exiting clean and constant-temperature workshops.
