    Job Description
    Elwyn Adult Behavioral Health Services is searching for a dedicated and detail-oriented Program Assistant to join our dynamic Assertive Community Treatment (ACT) team in Georgetown, DE.
    In this fulfilling role, you'll be a key player in ensuring the smooth operation of our program. You'll provide both administrative and clinical support, fostering a positive environment for clients and staff alike.
    Your Responsibilities:
    • Be the welcoming face of the ACT program:
      • Warmly greet clients and answer phone calls, creating a calming and supportive atmosphere.
      • Triage calls, efficiently directing inquiries and concerns to appropriate team members.
      • De-escalate situations with clients experiencing increased symptoms, using effective communication and problem-solving skills.
      • Address client and family questions and concerns, providing accurate information and resources, and connecting them with community services as needed.
    • Maintain organized and efficient program systems:
      • Ensure program records and files are up to date, organized, and readily accessible for the team.
      • Update policies and procedures manuals to reflect current best practices and regulatory guidelines.
      • Order and manage program supplies, anticipating needs and ensuring the team has the resources they need to function effectively.
      • Assist with administrative tasks, including data collection, report preparation, and maintaining accurate client contact records to track progress and service delivery.
    • Support the clinical team in delivering quality care:
      • Partner with nurses to update client information, ensuring medication and general health records are accurate and reflect any changes.
      • Maintain client charts according to regulatory standards set forth by CARF, Elwyn, and other certifying bodies, ensuring all documentation is clear, concise, and up to date.
      • Assist with clinical charting and record keeping, documenting interventions, progress notes, and treatment plans to support client care.
    • Handle additional responsibilities to ensure program success:
      • Operate and manage program computer systems, maintaining smooth workflow and data integrity.
      • Assist team leaders with billing and insurance verification to guarantee accurate service reimbursement.
      • Research and apply for eligible client benefits, such as Medicare Part D, QMB, and the Pill Bill program, to connect them with vital resources and ease financial burdens.

    Requirements:
    • High School diploma with relevant experience. Associate's degree in human services or a related field preferred. Prior experience in a medical office setting is a plus.
    • Strong computer skills and proficiency in Microsoft Office Suite.
    • Working knowledge of medical records management principles and practices.
    • Excellent customer service and interpersonal skills, with the ability to build rapport and effectively communicate with a diverse clientele.
    • Ability to work independently and manage multiple tasks efficiently, prioritizing effectively and meeting deadlines.
    • Strong organizational skills and expertise in time management to maintain a well-organized workspace and handle a fast-paced environment.
    • A genuine commitment to supporting individuals with severe and persistent mental illness, fostering their recovery and reintegration into the community.
