Program Assistant
$17.00/hr
Program: ACT
Location: New Castle County
Status: Full-Time - 40 hours
Schedule: M-F 8a-4p with on-call responsibilities
ABOUT THE ROLE
Conexio Care is seeking a reliable and organized Program Assistant to support the ACT (Assertive Community Treatment) Team. In this role, you will work closely with the Team Leader to ensure smooth daily operations while providing administrative and coordination support to both staff and clients. This role is essential in maintaining a welcoming environment, supporting client services, and promoting continuity of care through effective communication and organization.
RESPONSIBILITIES
- Support daily ACT team operations in collaboration with the Team Leader.
- Coordinate and maintain staff schedules, daily logs, and program activities.
- Serve as a liaison between clients, staff, and external providers to ensure effective communication.
- Greet clients and visitors, manage office walk-ins, and maintain a professional office environment.
- Answer and route phone calls, take messages, and follow up as needed.
- Participate in Daily Team Meetings and assist with documentation of client interactions.
- Maintain accurate client records, files, and documentation in systems such as CareLogic.
- Track monthly client contacts and assist with billing documentation.
- Verify Medicaid eligibility and update insurance systems (e.g., AmeriHealth, Highmark).
- Assist with clerical duties including filing, scanning, faxing, copying, and data entry.
- Manage petty cash, financial tracking, and client-related financial documentation.
- Monitor and maintain office supplies, vehicle records, and coordinate maintenance needs.
- Conduct vehicle safety checks and assist with oversight of gas card usage.
- Support compliance tasks such as fire drills and recordkeeping.
- Maintain confidentiality of all client, staff, and organizational information.
- Perform other duties as assigned to support program operations.
REQUIREMENTS
- High school diploma or equivalent required.
- Strong organizational and time-management skills with the ability to multitask.
- Excellent communication and interpersonal skills.
- Ability to maintain accurate records and documentation.
- Proficiency in basic office systems and computer applications.
- Ability to handle confidential information with professionalism and discretion.
- Ability to work both independently and as part of a team.
- Reliable and able to support a fast-paced work environment.
ADDITIONAL QUALIFICATIONS
- Experience in behavioral health, social services, or healthcare settings preferred.
- Familiarity with electronic health records systems (e.g., CareLogic) preferred.
- Knowledge of Medicaid eligibility and managed care systems is a plus.
- Experience with billing support and client service documentation.
- Strong attention to detail and problem-solving skills.
- Comfortable working with diverse populations, including individuals with behavioral health needs.
- Flexible and adaptable to changing priorities and program needs.
