Job description

Contracts Administrator & Title IX Coordinator

Position Summary

Meritus is seeking a highly organized, detail-oriented, and proactive Contracts Administrator & Title IX Coordinator to join our Legal Department. This integral role manages the full lifecycle of contracts and legal documents while serving as the Title IX Coordinator for the Meritus School of Osteopathic Medicine (MSOM). The successful candidate will oversee contract intake, review, drafting, execution, and repository management, while also coordinating Title IX complaint processes and supporting a variety of legal, compliance, and administrative functions.

Working with minimal supervision, this position requires exceptional organizational skills, sound judgment, strong communication abilities, and the capacity to effectively manage multiple priorities in a complex healthcare and academic environment.

Key Responsibilities

Contract Administration

  • Manage the complete lifecycle of contracts, from intake and review through execution and storage.
  • Review, analyze, draft, and revise contracts using approved templates and Legal Department guidelines.
  • Maintain and administer the organization's contract repository and intake tracking systems.
  • Coordinate contract review requests between business stakeholders and Legal Department attorneys.
  • Facilitate signature workflows in accordance with corporate signature authority policies.
  • Serve as the primary administrator and vendor liaison for contract management software platforms.
  • Prepare and distribute contracts using electronic signature platforms such as DocuSign.
  • Monitor contract status, deadlines, renewals, and compliance requirements.

Legal Operations & Compliance Support

  • Maintain comprehensive intake logs and repositories for legal matters and contracts.
  • Identify and implement process improvements, internal controls, and efficiencies that optimize Legal Department operations.
  • Assist with audits, compliance reviews, and process documentation.
  • Support policy review and updates to ensure consistency, accuracy, and elimination of duplication.
  • Prepare, maintain, and monitor corporate documents, regulatory filings, and legal correspondence related to healthcare transactions and regulatory matters.
  • Assist with physician contracting compliance initiatives and PTRC agenda preparation.

Title IX Coordination

  • Serve as the Title IX Coordinator for the Meritus School of Osteopathic Medicine.
  • Receive and coordinate intake of Title IX complaints under the supervision of the Associate General Counsel.
  • Facilitate communication and coordination among involved parties throughout the review process.
  • Maintain confidential records and ensure compliance with applicable Title IX requirements and institutional policies.

Administrative & Operational Support

  • Support MSOM administrative processes, including grievance, accommodation, and related workflows.
  • Coordinate insurance renewal information gathering and stakeholder follow-up activities.
  • Manage subpoena intake, tracking, deadlines, and follow-up actions.
  • Maintain databases and ensure accurate and timely recordkeeping.
  • Provide general administrative and operational support to the Legal Department as needed.

Qualifications

Required

  • Associate's degree or equivalent combination of education and experience.
  • Minimum of 3 years of experience in contract administration, legal operations, compliance, healthcare administration, or a related field.
  • Strong organizational and project management skills with the ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills.
  • Demonstrated attention to detail and commitment to accuracy.
  • Proficiency with Microsoft Office Suite and database management systems.
  • Experience working with confidential and sensitive information.

Preferred

  • Bachelor's degree in Business Administration, Legal Studies, Healthcare Administration, or a related field.
  • Experience in healthcare, higher education, legal, or compliance environments.
  • Experience with contract management systems and electronic signature platforms (e.g., DocuSign).
  • Knowledge of Title IX processes and regulatory requirements.
  • Familiarity with healthcare regulatory compliance and physician contracting.
