JOB TITLE: Assistant Controller
REPORTS TO: Controller
JOB DESCRIPTION SUMMARY:
The Assistant Controller serves as a key member of the accounting leadership team and acts as the primary support to the Controller. This role is responsible for the day-to-day management of accounting operations, including Accounts Payable, Accounts Receivable, Payroll, Human Resources, Equipment, IT, and general office administration. The Assistant Controller provides leadership to the accounting and administrative teams while ensuring accurate financial reporting, strong internal controls, and efficient business processes. Strategic financial oversight, final approval authority, and overall responsibility for the accounting function remain with the Controller.
RESPONSIBILITIES:
• Oversees accounting and administrative functions for the office.
• Supervises accounting and administrative staff under the direction of the Controller, including assigning, reviewing, and auditing work.
• Trains and evaluates employees to enhance their performance, development, and work product. Addresses performance issues and makes recommendations for personnel actions.
• Conducts annual performance evaluations to staff.
• Provides accounting assistance to project managers and operations staff; responds to financial questions/concerns to meet business needs.
• Assists in the development and implementation of a documented system of accounting policies, standard operating procedures, and internal controls.
• Performs the daily bank reconciliation and monthly reconciliation of bank accounts.
• Assists in the management of the company credit card program.
• Reporting and remittance of NY sales tax and use tax liability
• Supports the annual financial audit activities and inquiries.
• Performs equipment cost true-ups and monthly auto/inland marine insurance entries.
• Records monthly prepaid insurance and depreciation entries.
• Maintains an electronic file with all Fixed Asset acquisitions and dispositions.
• Provides support for staff in managing and troubleshooting IT issues. Acts as a liaison between our remote IT Analyst and on-site staff.
• Interfaces with IT Analyst as needed for properly functioning workstations and equipment.
• Supports and coordinates system implementations and process improvement initiatives in partnership with the Controller and departmental leadership.
• Identifies and promotes the practical use of AI and automation tools within the organization.
• Utilizes and manages software and systems to streamline processes and improve efficiency.
• Participates in monthly staff meetings and other project meetings.
• Serves as the primary contact for office vendors and maintains strong business relationships.
• Ensures proper maintenance, filing, and storage of records in case of audits.
• Maintains confidentiality of sensitive information.
• Performs other related duties as assigned.
QUALIFICATIONS:
• Bachelor's degree in Accounting, Finance, Business Administration, or a related field; or an
equivalent combination of education and experience.
• Seven or more years of accounting experience within the construction industry.
• Minimum three years of progressive leadership or supervisory experience.
• Experience working with generally accepted accounting principles and accounting software
• Must have large-scale ERP system experience.
• Experience with SAGE 300 CRE, TimberScan and Corpay is desirable
• Strong computer, analytical and problem-solving skills
• Strong interpersonal skills for interacting with accountants, clients, and upper management
• Good communication skills for communicating with support personnel and management
• Experience should be with an organization of substantial size $50M + annual revenue and more than 100 employees, ideally in a multi-state environment.
• Proven ability to lead, mentor, and develop staff while effectively delegating responsibilities.
• Ability to prepare, analyze, and interpret financial and operational reports.
• Demonstrated ability to manage multiple priorities in a fast-paced, high-volume environment.
COMPENSATION & BENEFITS:
• Salary range: $100,000 - $115,000 annually, paid weekly
