Job description

215 Day Secretary

This position is responsible for performing general secretarial duties, preparing reports and maintaining records as required, greeting and attending to the needs of visitors (staff, parents and students) to ensure the efficient and smooth operation of the office/building.

Education
  • High school diploma or equivalent required
Experience
  • Five (5) years of clerical or secretarial experience preferred
Skills, Knowledge & Abilities
  • Strong oral and written communication skills
  • Ability to establish and maintain effective working relationships and use good judgment, initiative and resourcefulness when dealing with other employees and the public
  • Ability to work effectively under stress, changing work priorities and in emergencies
  • Ability to work diverse groups of people
  • Ability to work effectively, cooperatively and respectfully with staff, parents, students and community members regardless of race, color, creed, gender, sexual orientation, gender identity, ethnic/national origin, religion, marital status, age, socio-economic status or disability
  • Ability to provide customer service in a fast-paced environment

  • Ability to work a flexible work schedule as needed

Job Duties
  1. Creates and maintains an open and welcoming office and building environment by providing exceptional customer service to students, staff, families and the public.
  2. Performs clerical duties as directed by the principal and building administrative staff.
  3. Operates office equipment as needed.
  4. Answers the telephone and assists callers accurately and efficiently.
  5. Prepares outgoing mail; sorts and distributes incoming mail.
  6. Sets up meetings and schedules facilities as directed.
  7. Composes, types and edits correspondence as directed.
  8. Maintains accurate records and prepares reports as requested.
  9. Gives medical attention and dispenses medication in the absence of the Health Assistant.
  10. Assists with conferences/grade reporting procedures including collecting, scheduling, mailing.
  11. Coordinates time effective distribution of flyers, notes home to parents and other district or community information.
  12. Maintains confidentiality of all records and information.
  13. Performs other duties as may be assigned.
