Job description

Penn Apartment Staffing is seeking for experienced Assistant Property Managers in Austin, Dallas, Fort Worth, Houston, and San Antonio, as well as surrounding areas. Our recruiters are currently scheduling interviews to fill these roles. We are seeking apartment professionals to fulfill temporary and temp-to-hire opportunities within the multi-family industry.


Job Summary:

The Assistant Property Manager will report to the property manager and perform administrative and organizational duties such as liaising with residents, collecting rent, doing basic bookkeeping, organizing property viewings and overseeing facility maintenance. Also be responsible for evaluating applicants and negotiating contracts.


Responsibilities:

  • Follow established AR/AP guidelines including contacting tenants for collection issues, tenant account reconciliations and reporting as well as coordination of tenant defaults and lock outs as necessary.
  • Lease units by selling the products and services of the property. Conduct site tours and demonstrate property amenities, model apartments and available apartments.
  • Effectively handle telephone inquiries from prospective residents, service requests from residents and information requests from owners and company personnel.
  • Follow established policies and procedures regarding the qualification, screening and acceptance of applicants for residency.
  • Prepare rental paperwork in an accurate and timely manner. Communicate and explain rental documents to new and existing residents. Ensure documents are completed prior to resident move-in. Proofread all lease paperwork.
  • Accurately complete and submit daily, weekly and month-end closing reports on a timely basis, accept payments and process for deposit, collect delinquent rents, complete injury and loss reports and claims and other reports and plans as required.
  • Follow all safety procedures. Report any safety hazards found and assist in ensuring correction on a timely basis.
  • Perform duties required to collect, post, and deposit rental payment, late fees, NSF fees, utility charges, deposits and any other payments required from existing and prospective residents in a timely manner.
  • Maintain consistent collection practices including, but not limited to, communicating on a regular basis with resident who have delinquent balances, filing 3-day notice to vacate, forcible detainers, and writs of restitution related to eviction procedures.
  • Notify residents of prepaid balances on their account. Follow up on balances due at move out with residents based on the company’s collection policy.
  • Inspect apartments at resident move out, take photos to document damages, assess applicable charges, and complete Final Account Statement for Property Manager approval.
  • Communicate with the Property Manager any problems regarding resident, operations, maintenance, or staff issues.
  • Accept and log resident service request; distribute to the appropriate maintenance person as needed.
  • Work with maintenance to ensure information regarding the status of vacant units and of open service request is accurate and up-to-date.
