With a strong reputation for excellence, we are seeking a proactive and detail-oriented Administrative Assistant to support our executive team and contribute to the daily operations of our dynamic Midtown Manhattan office.


An established New York City architectural firm is seeking a mid level Construction Expediter / DOB Filing Representative to join its team. The ideal candidate will have solid experience with NYC Department of Buildings filings, including both the DOB BIS system and DOB NOW, and will be familiar with the full approval process for architectural and construction applications.

The firm works on a broad range of projects throughout New York City, including new buildings, residential, mixed use, commercial, institutional, and interior renovation work. We are looking for an individual who understands the importance of accurate filings, agency follow up, objection resolution, permit coordination, and maintaining clear communication between the architectural team, clients, consultants, contractors, and City agencies.

This is a mid level position intended for someone who already understands the NYC filing process and can work with a reasonable level of independence while still coordinating closely with the architectural team. The candidate must be organized, detail oriented, professional, and comfortable handling multiple active projects.


Responsibilities will include:

  • preparing and filing DOB applications through BIS and DOB NOW
  • coordinating with architects and project managers to obtain required documents
  • tracking objections and plan examiner comments
  • assisting with permits and post approval amendments
  • coordinating with FDNY and other agencies when required
  • monitoring project status
  • maintaining filing records, and helping resolve agency issues that arise during the approval process.

  • The candidate should have direct experience preparing, submitting, tracking, and coordinating applications with the New York City Department of Buildings, the Fire Department of New York, and other agencies having jurisdiction over construction approvals.
  • This position requires someone who can manage multiple filings at the same time, follow applications from initial submission through approval, assist with permits, coordinate responses to objections, and help move projects toward sign off, Letters of Completion, Temporary Certificates of Occupancy, or final Certificates of Occupancy.
  • The ideal candidate should have several years of New York City expediting experience, strong working knowledge of DOB BIS and DOB NOW, familiarity with DOB filing requirements and procedures, and the ability to communicate clearly with City agencies, architects, consultants, contractors, and clients. A current expediting license or DOB Filing Representative registration is required. Experience with Class 1 or Class 2 filing representative work is preferred.
