Job Summary

The Catering Coordinator plays an integral role in supporting the planning and execution of high-quality catering events for Restaurant Associates. This position provides day-to-day administrative and operational support for the catering team, ensuring event details are accurate, client communications are timely, and all internal partners have the information needed for successful execution. The ideal candidate is highly organized, detail-oriented, hospitality-minded, and comfortable managing multiple priorities in a fast-paced, dynamic environment.

Job Description

Key Responsibilities:

  • Prepare, maintain, confirm, and distribute accurate Banquet Event Orders (BEOs), event packets, run sheets, and related event documents.
  • Coordinate BEO updates and revisions, ensuring changes are communicated promptly to clients, culinary, operations, and other key partners.
  • Coordinate inbound catering leads and assign them to the appropriate Catering Manager.
  • Support client invoicing, payment verification, and follow-up on outstanding or unconfirmed payment information.
  • Participate in daily and weekly BEO/packet meetings and document key updates and action items.
  • Coordinate weekly event packets and ensure the culinary and operations teams have all information needed for upcoming events.
  • Manage event-related orders, including pastry, specialty items, kosher meals, party rentals, temporary staffing, and other operational needs.
  • Support catering administration across Mobius, GEMS, Momentus, and other applicable systems.
  • Coordinate temporary staffing, including staffing orders, registration, badges, assignments, and timekeeping.
  • Prepare event signage, cover pages, staffing documents, and other materials needed for event execution.
  • Support monthly liquor inventory and applicable invoice creation and administrative processes.
  • Attend client meetings, site visits, and planning meetings as needed.
  • Partner closely with Catering Managers, culinary, operations, clients, vendors, and staffing partners to identify and resolve issues and ensure seamless event execution.
  • Represent the brand with professionalism and a strong commitment to exceptional hospitality.

 

Qualifications:

  • Bachelor's degree preferred; equivalent professional experience will be considered.
  • Minimum of 2 years of experience in food service, catering, hospitality, or event operations; supervisory experience preferred.
  • Experience supporting catering events, banquet operations, or high-volume hospitality environments strongly preferred.
  • Proficiency with G-Suite/Google Workspace and other business applications.
  • Experience with hospitality or event management platforms such as Reserve, Cvent, Salesforce, CaterTrax, Momentus, or similar systems preferred.
  • Excellent written and verbal communication skills with the ability to interact effectively with clients, managers, associates, vendors, and other partners.
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple events and competing priorities simultaneously.
  • Demonstrated ability to creatively solve problems and make sound decisions in a fast-paced environment.
  • Ability to communicate clearly, motivate and collaborate with individuals at all levels of the organization.
  • Strong passion for food, hospitality, and delivering an exceptional client and guest experience.
  • Comfortable presenting and communicating information in group settings, including with associates, managers, and clients.
  • Ability to work independently while also functioning effectively as part of a collaborative team.
  • Adaptable in a fast-paced, evolving environment where priorities may shift quickly.
