Job description

Position Summary

The Quality Assurance & Documentation Specialist supports cultivation quality, compliance, and operational consistency by maintaining accurate batch records, managing finished-flower quality evaluations, reviewing product labels, inspecting incoming materials, and supporting controlled documentation.

This position works closely with Cultivation, Manufacturing, Compliance, and leadership to ensure products and processes meet internal quality standards and Connecticut Department of Consumer Protection requirements. The ideal candidate is highly organized, detail-oriented, comfortable working with regulated documentation, and able to identify and escalate quality concerns promptly.

Essential Duties and Responsibilities

Batch Records

ยท Create, review, maintain, and complete batch records for every harvest lot.

ยท Verify that required production details, quality checks, approvals, and supporting documentation are complete and accurate.

ยท Follow up with appropriate team members to resolve missing, incomplete, or inconsistent information.

ยท Ensure batch records are closed out within established timelines.

ยท Maintain records in an organized, inspection-ready format.

Finished-Flower Quality Program

ยท Administer the company's TAMU finished-flower QA/QC grading program.

ยท Evaluate finished flower across six quality attributes:

o Jar appeal

o Fill-weight accuracy

o Flower sizing

o Trim quality

o Density and structure

o Moisture

ยท Accurately complete and retain all required grading forms.

ยท Identify recurring quality concerns, inconsistencies, and opportunities for improvement.

ยท Prepare weekly quality highlights and reporting for leadership.

ยท Communicate findings objectively and collaborate with operational teams on follow-up actions.

Brand and Product Registration

ยท Prepare and submit product and brand registration documentation to the appropriate state regulatory agency.

ยท Track submission status, approvals, renewal dates, and requested changes.

ยท Maintain current and accurate registration records.

ยท Coordinate with Compliance, Operations, and other departments to obtain required information and supporting materials

Label Review and Approval

ยท Review product labels before release for regulatory compliance, completeness, and accuracy.

ยท Verify potency information, required warnings, batch and lot information, product details, and other required elements.

ยท Compare label information against approved product records and supporting documentation.

ยท Document label reviews and escalate discrepancies before products are released.

ยท Maintain approved label versions and associated records.

Material Quality Intake

ยท Inspect incoming materials, including substrate, nutrients, packaging, labels, and production consumables.

ยท Compare received materials against purchase specifications, approved samples, and internal quality requirements.

ยท Document inspection results and maintain supporting records.

ยท Quarantine nonconforming or questionable materials when necessary.

ยท Promptly escalate damaged, incorrect, expired, or out-of-specification materials.

ยท Support the investigation and resolution of material-related quality concerns.

SOP and Documentation Support

ยท Assist with drafting, reviewing, updating, and formatting standard operating procedures.

ยท Maintain version control for SOPs, batch record templates, forms, logs, and other controlled documents.

ยท Ensure outdated documents are removed from active use and replaced with current approved versions.

ยท Support the development and maintenance of training documentation as processes change.

ยท Help ensure employees have access to accurate, current, and understandable documentation.

Audit and Inspection Readiness

ยท Maintain organized, accurate, and easily retrievable quality and operational records.

ยท Routinely review documentation for completeness and inspection readiness.

ยท Assist with internal audits, corrective-action follow-up, and document requests.

ยท Support Connecticut Department of Consumer Protection inspections and facility walkthroughs.

ยท Help ensure the department remains prepared for an inspection without requiring last-minute document collection or correction.

Additional Responsibilities

ยท Follow all applicable state cannabis regulations, company policies, safety requirements, and standard operating procedures.

ยท Protect confidential company, employee, and product information.

ยท Report quality, documentation, safety, or compliance concerns to the appropriate leader.

ยท Participate in quality meetings, process-improvement initiatives, and cross-functional projects.

ยท Perform other duties as assigned based on business and operational needs.

Qualifications

ยท High school diploma or equivalent required.

ยท Associate or bachelor's degree in quality assurance, science, agriculture, manufacturing, compliance, business administration, or a related field preferred.

ยท Previous experience in quality assurance, quality control, document control, regulated manufacturing, cannabis, agriculture, food production, pharmaceutical production, or a similar environment preferred.

ยท Experience reviewing batch records, labels, controlled documents, or inspection records strongly preferred.

ยท Strong attention to detail and commitment to accuracy.

ยท Excellent written communication, organization, and recordkeeping skills.

ยท Ability to identify inconsistencies and follow issues through resolution.

ยท Ability to manage multiple priorities and meet documentation deadlines.

ยท Proficiency with Microsoft Office and electronic recordkeeping systems.

ยท Ability to communicate quality concerns professionally and objectively.

ยท Must meet all state requirements for employment within the Connecticut cannabis industry.

Physical Requirements

ยท Ability to remain seated or standing for extended periods.

ยท Ability to walk throughout cultivation, processing, storage, and administrative areas.

ยท Ability to visually inspect cannabis products, labels, packaging, and incoming materials.

ยท Ability to use a computer and complete detailed documentation for extended periods.

ยท Ability to lift and carry up to 30 pounds, with or without reasonable accommodation.

ยท Ability to wear required personal protective equipment and work in environments where cannabis plants and products are present.

Work Environment

This position works in a regulated cannabis cultivation and production environment. The employee may be exposed to strong odors, plant material, dust, varying temperatures and humidity levels, cleaning products, and operational equipment. Strict adherence to sanitation, security, safety, documentation, and regulatory requirements is required at all times.
